Project Assistant
Description We are looking for a detail-oriented Project Assistant to join our team on a contract basis in Dana Point, California. The ideal candidate will play a key role in ensuring the smooth execution of event-related tasks, maintaining effective communication, and providing exceptional support to attendees and team members. This position requires excellent interpersonal skills and the ability to work efficiently in a fast-paced environment. Responsibilities: • Coordinate with the audio technician (A1) to ensure proper setup and functionality within your assigned area. • Monitor your designated quadrant, ensuring clear visibility and accessibility for attendees during Q& A sessions. • Promptly assist attendees by guiding them to stand and hold their numbers high for effective communication with the A1. • Maintain an approachable demeanor while addressing attendee questions and concerns. • Communicate effectively using hand signals to relay attendee needs or multiple questions to the A1. • Ensure numbers remain visible to both the A1 and the audience during sessions. • Stay vigilant and responsive to any changes or needs within your assigned area to support event flow. • Uphold a neat appearance by adhering to the business attire dress code, including suits, pantsuits, and closed-toe shoes. • Demonstrate a courteous and friendly attitude while interacting with attendees and team members. Requirements • Proficiency in Microsoft Office Suite to support event-related tasks and communication. • Strong interpersonal and communication skills to effectively interact with attendees and team members. • Ability to maintain a neat and appropriate appearance and adhere to the prescribed dress code. • Excellent organizational skills and attention to detail to manage assigned areas and responsibilities. • Capability to work in a dynamic environment, staying alert and responsive to attendee needs. • Physical stamina to move quickly within the event space and assist attendees promptly. • Prior experience in event coordination or customer-facing roles is preferred. • Flexibility to adapt to changing event needs and collaborate effectively with the team.
