Project Accounting Associate

JOB SUMMARY The\u202FProject Accounting\u202FAssociate provides day-to-day support to the Project Accounting Team and Project Managers throughout the entire project life\u202Fcycle in a fast-paced, collaborative environment. You will perform day-to-day project\u2010level accounting tasks, ensure data integrity in the ERP system (Deltek Vantagepoint), and learn the fundamentals of GAAP-compliant project accounting. The role is designed as an early-career step that builds a clear development path toward Project Accountant and higher-level project-finance positions. ESSENTIAL FUNCTIONS Project Accounting Support (70%) + Create new projects, purchase orders (POs) and change orders (COs) in the ERP system based on approved request forms + Verify contract terms, task codes, billing rates and funding limits are correctly entered + Maintain electronic contract folders with current purchase orders (POs), change orders (COs), and fully-executed contracts + Prepare draft and final invoices that comply with client contract requirements and internal billing standards + Assemble required backup documentation (timesheets, expense receipts, lien waivers, etc.). + Resolve routine billing discrepancies in coordination with the Project Accountant + Enter and maintain project billing schedules + Assist with A/R management by taking note of potential payment delays and resolving billing issues timely. Communicate payment delays to Project Managers + Update cash receipt information daily and reconcile against open invoices Data Quality & Process Improvement (20%) + Run standard exception and variance reports, flag discrepancies + Help document procedures; suggest workflow or automation enhancements + Support internal audits of project files for completeness and accuracy + Maintain digital project files and audit trails General Team Support (10%) + Assist with year-end audit support (pulling invoices, contracts,\u202Fetc.) + Setup and maintain client portals + Respond to ad-hoc requests from Project Accountants and PMs + Participate in training sessions to build accounting and ERP skills + Attend company and client meetings as required + Cross-train to provide support to other Project Accounting and Finance team members Completion of Assigned Tasks and Deliverables on Time and on Budget Performs other related duties as assigned Requirements POSITION REQUIREMENTS Core Competencies + Familiarity with an ERP or project accounting platform (Deltek\u202FVantagepoint or similar + Proficiency with Microsoft\u202F365 (Excel, Outlook, Word, Teams) + Basic understanding of debits/credits, percentage of completion concepts, and billing schedules + Strong attention to detail and ability to work accurately under monthly close deadlines + Clear written and verbal communication skills; comfortable supporting remote colleagues via Teams and e mail + Demonstrated ability to organize digital files logically and maintain data integrity + Prolonged periods of sitting and keyboard use in a home office environment + Occasional lifting of packages or equipment up to 25\u202Flbs. + Reliable high speed internet and a dedicated, distraction free workspace + Exposure to AIA contract documents or other construction/engineering billing formats + Experience with Power\u202FBI, Excel pivot tables or similar reporting tools TRAVEL / RELOCATION REQUIREMENTS + Up to 5%, this may include travel to any or all 50 US states + Travel is defined as physically leaving home on behalf of business activities including but not limited to client sites, meetings with other employees, meeting for business development purposes, running errands on behalf of the business, attending industry conferences, etc. EDUCATION / EXPERIENCE REQUIREMENTS + Associate's degree in Accounting, Finance or Business \u202FOR\u202F an equivalent combination of post secondary coursework and relevant experience + 1 3\u202Fyears in an accounting, project coordination or billing support role, preferably within a professional services or construction environment Benefits Benefits DLB Associates offers a very competitive benefits package; highlights include + Choice of comprehensive medical plans (including two PPO-style plans and a HDHP w/ HSA option) + Health reimbursement account (HRA), flex spending accounts (FSA) + Dental and vision plans + Comprehensive medical, dental and vision benefits extended to spouse / domestic partner and dependent children up to age 26 + 401k with company match and self-directed brokerage account option + PTO including additional paid time off during the last week of the year + Company paid life insurance coverage for employees and their eligible dependents + Short and long-term disability, AD&D coverage + Professional development opportunities, tuition reimbursement and professional licensing assistance + Paid parental leave after one year of employment DLB Associates is an EEO/Affirmative Action Employer and participates in the E-Verify program with the Department of Homeland Security.
