Job Description Purpose: This position is a member of the Texas A&M Engineering Experiment Station (TEES) Workforce Development team and is assigned to the Office of Conferences and Events. This position is responsible for coordinating reservations and operations at the Zachry Engineering Education Complex and the Center for Infrastructure Renewal (CIR) at the RELLIS Campus. The position oversees the facility reservation system, supervises student employees, supports event logistics, and ensures space readiness and client support. Responsibilities also include creating and maintaining documentation and workflows related to event and space use, analyzing reservation data, and collaborating with internal stakeholders to support college-wide initiatives and events. The position will require occasional attendance at evening or weekend events. Responsibilities: + Oversee engineering event facilities at the Zachry Engineering Education Complex and the Center for Infrastructure Renewal (CIR) at the RELLIS Campus; review and approve reservation requests; coordinate facility access, custodial needs, technology usage, and furniture arrangements; evaluate and maintain facility conditions; analyze and report reservation data. + Support and work within the event management system. + Act as the primary liaison for event stakeholders, ensuring alignment between client needs and venue capabilities throughout the planning process and event execution. + Supervise, mentor, and develop a team of student employees, including scheduling, training, assigning projects, and conducting regular check-ins. + Coordinate with building staff to ensure spaces are clean, functional, and configured appropriately for events and reservations. + Ensure setup and logistics are correct according to client needs. + Create, revise, and maintain documentation, including standard operating procedures, guides, and training materials related to reservations and space policies. + Analyze space usage and reservation data and provide reports to inform strategic planning and operational improvements. + Ensure compliance with university policies and procedures for working with minors; complete required training and coordinate with relevant departments to support youth programs and events. + This position requires direct engagement with minors and youth during program activities. The employee is expected to fully adhere to all university policies and state regulations pertaining to the safety and protection of minors. + Support Workforce Development initiatives and cross-functional events as needed. + Perform other duties as assigned. What is needed: + Bachelor’s degree in applicable field or equivalent combination of education and experience. + Two years of related experience. What is helpful: + Administrative experience. + Experience with planning, implementing and executing events. + Event management software experience helpful but not required Knowledge, Skills, and Abilities: + Excellent oral and written communication skills and organizational skills. + Ability to handle multiple tasks and works in a past-paced, deadline-oriented environment. + Ability to learn online reservation system, track numerous details, employ critical thinking, adapt quickly and use creative problem-solving skills. Physical Requirements: + Light Work: Exerting up to 20 pounds of force frequently lifting or carrying of objects weighing up to 10 pounds; requires a good deal of walking or standing.
