Overview
The Department of Medicine is seeking a highly organized, resourceful, and proactive Program Manager to provide strategic and operational administrative leadership in support of the Department Chair and Medical Services Director. This role oversees a team of administrative professionals who provide essential support to department leadership and across all 19 sections, in close collaboration with the Geisel School of Medicine.
The ideal candidate will possess exceptional communication, leadership, and organizational skills, and thrive in a dynamic academic, clinical, and research environment. This position plays a key role in advancing high-impact initiatives in medical education, clinical operations, and scientific innovation.
Responsibilities Administrative Leadership & Team Oversight

Oversee Department of Medicine administrative support personnel, ensuring alignment with institutional standards and goals.
*
Lead recruitment, onboarding, and retention efforts for key administrative roles, including Section Chiefs, Practice Managers, and Vice Chairs.
*
Collaborate with the Department Chair to manage interview processes and identify top candidates.
*
Deliver regular performance feedback focused on continuous service quality improvement.
*
Identify training and development needs across the administrative team and secure appropriate resources.
*
Establish and refine processes to track the effectiveness and impact of administrative operations.
Faculty & Personnel Operations
*
Support administrative tracking and documentation for faculty offer letters, OPPE/FPPE reviews, appointments, reappointments, promotions, and terminations.
*
Partner with the Medical Specialties Service Line and Geisel School of Medicine to ensure consistent, high-quality processes across all faculty actions.
Administrative Coordination
*
Manage complex calendars, meetings, and communications for department leadership, including cross-institutional and external collaborations.
*
Draft and edit formal correspondence, reports, and presentations using standardized formats.
*
Prepare, archive, and follow up on meeting agendas, minutes, and action items.
*
Triage and prioritize incoming inquiries to ensure timely, accurate, and professional responses.
Department Operations
*
Oversee day-to-day administrative operations, including file/document management and workflow optimization.
*
Ensure all calls and inquiries are managed according to established service standards.
*
Support planning and execution of departmental meetings, events, and cross-functional projects.
Budget & Systems Management
*
Assist with department budgeting, expense tracking, and vendor coordination.
*
Leverage institutional tools for scheduling, finance, project management, and data storage.
*
Proactively identify opportunities to streamline administrative systems, communication tools, and workflow efficiency.
Other Duties
*
Perform additional administrative and project-based responsibilities as assigned to support the department’s mission and strategic priorities.
Qualifications
* Bachelor’s degree or the equivalent in education and experience required.
* Two (2) years of supervisory/management experience required.
* Excellent organization, interpersonal, oral and writing skills required.
* Exemplary leadership qualities.
* The ability to relate and deal effectively with physicians, administrators, support staff, and the general public with a high degree of tact and discretion required.
