Job Description
Purpose:
The Program Manager, Conferences & Events is a key leadership role within the Texas A&M Engineering Conferences & Events team. Reporting to the Assistant Director, this position is responsible for overseeing the planning, coordination, and successful execution of events and conferences across the College of Engineering and TEES. The Program Manager supervises a team of event and conference specialists and works collaboratively with internal stakeholders to ensure excellence in event delivery, adherence to university standards, and optimal team performance.
Responsibilities:
+ Provide day-to-day oversight of the events and conferences team, supervising and supporting event and conference specialists.
+ Coordinate the assignment of lead planners for all events and conferences and serve as lead for high-profile or complex programs as needed.
+ Oversee the planning and execution of efforts for conferences, symposia, meetings, and events for the Vice Chancellor and Dean, TEES centers, and college departments.
+ Supports the Assistant Director in developing and implementing procedures for effective program administration and planning processes.
+ Assist the Assistant Director in outreach to external vendors, venues, caterers, and other service providers; solicit proposals, negotiate terms, and maintain positive working relationships to ensure high-quality services and cost-effective solutions.
+ Oversee scheduling and logistics management for events and conferences, including coordination with venues, vendors, and service providers.
+ Oversee the management of programs and events within the designated event management system, including setup, tracking, reporting, and quality control.
+ Assist in the development and monitoring of event and conference budgets, ensuring cost-effectiveness and adherence to financial guidelines.
+ Oversee the development and maintenance of event and conference websites, forms, and materials in accordance with university branding and accessibility standards.
+ Represent the department in university and external meetings, vendor negotiations, and partnership development.
+ This position requires direct engagement with minors and youth during program activities. The employee is expected to fully adhere to all university policies and state regulations pertaining to the safety and protection of minors.
+ Performs other duties as assigned
What we need:
+ Bachelor’s degree in applicable field or equivalent combination of education and experience.
+ Five years of related experience.
What is helpful:
+ Minimum two years of direct supervision of full-time employees.

+ Knowledge of event and conference planning principles, techniques, and best practices.
+ Proficiency in word processing, spreadsheet applications, and event management platforms.
+ Effective verbal and written communication skills.
+ Strong interpersonal, leadership, and team-building abilities.
+ High attention to detail with the ability to manage multiple priorities simultaneously.
+ Sound judgment and problem-solving skills.
+ Ability to work independently and collaboratively within a fast-paced environment.
