Program Coordinator - Cardiology

Overview
The Program Coordinator for the Cardiology Practice is responsible for overseeing the day-to-day administrative operations, ensuring efficient workflow, and facilitating coordination among healthcare professionals, patients, and external partners. The role supports clinical staff, manages scheduling, ensures a positive patient experience, and oversees compliance with regulatory standards. The coordinator plays a critical role in ensuring that the cardiology practice delivers high-quality care to its patients. The Program Coordinator could work with various sub-specialties withing the Cardiology Section, including; General Cardiology, Heart Failure, Interventional Cardiology, Electrophysiology, or Research.
Responsibilities
* Administrative Support:
* Coordinate daily operations and administrative tasks within the cardiology practice.
* Manage provider schedules, including patient appointments, procedures, follow-up visits, on-call, and administrative responsibilities.
* Prepare reports and documentation required for procedures, team meetings, and patient consultations.
* Organize and schedule conferences.
* Coordinate stakeholder engagements between facilities including events and large gatherings.
* Process expense reports for all providers
* Prepare presentations
* Coordinate travel arrangements
* Patient Coordination:
* Act as a liaison between patients, families, and healthcare teams, ensuring clear communication regarding plan of care instructions, follow-up care, and billing inquiries.
* Develops a resource library of patient education material at the direction of Section/Division Chief.
* Team Coordination:
* Coordinate multidisciplinary team meetings, including preparing agendas and materials for discussions, mortality reviews, and clinical audits.
* Ensure alignment between surgeons, nursing staff, and other healthcare professionals regarding patient care plans and procedure schedules.
* Assist with onboarding and training of new staff within the practice.
* Regulatory Compliance:
* Helps ensure compliance with healthcare regulations, hospital policies, and accreditation standards relevant to cardiology, including HIPAA and Joint Commission requirements.
* Monitor and assist with quality control programs, ensuring adherence to best practices in cardiology and patient care.
* Data Management and Reporting:
* Oversee data collection for clinical trials, research studies, and quality improvement initiatives related to cardiology outcomes.
* Generate performance and outcome reports for internal reviews and external regulatory bodies.
* Support financial reporting by assisting with budgeting, tracking expenses, and submitting reports as required by the practice manager.
* Creates funding spend plan, reconciles actual spending, and present summary reports to leadership.
* Directs donations and bequests made as a result of programs, services, and activities to the Development Office.
* Program Development:
* Assist in the development and implementation of programs that enhance patient care and optimize workflow within the cardiology practice.
* Identify opportunities for improvement in administrative processes and suggest potential solutions.
Qualifications
* Bachelor’s degree in healthcare administration or related field preferred.
* Minimum of 3 years of experience in a healthcare setting, ideally in a surgical or cardiology practice.
* Strong organizational and multitasking skills, with attention to detail.
* Excellent communication and interpersonal skills.
* Proficiency in EMR systems and healthcare software applications.
* Understanding of healthcare regulations, particularly HIPAA and Joint Commission standards.
* Experience working in a fast-paced, team-oriented environment
* Experience coordinating within a cardiology practice or another surgical specialty.
* Knowledge of clinical procedures and protocols in cardiology.
* Certification in healthcare administration or project management (e.g., CPHQ, PMP) is a plus.
