Program Coordinator, Office of the Dean of Students
**Job Description:** **JOB SUMMARY:** The Office of the Dean of Students upholds community standards that encourage open communication, values-based decision-making, ethical behavior, and resiliency within a safe, respectful, and inclusive environment. The Office advocates for and assists students in resolving concerns that affect them and the University community. The program coordinator will contribute to initiatives that support the health, safety, and welfare of students while promoting the Catholic and Jesuit mission and identity of the University. This position will coordinate off-campus student life initiatives and the student conduct process, and provide support for the front-line operation of the Office of the Dean of Students. **QUALIFICATIONS:** Preferred candidates will demonstrate an interest in working closely with a diverse population of students, families, staff, faculty, and administrators, and a high level of customer service skills, organizational skills, and awareness of cultural differences. **EDUCATION:** Bachelor’s degree required. **EXPERIENCE:** Preferred candidates will possess at least one year of experience working in a high-paced environment supporting and working with college students and families. **KNOWLEDGE AND SKILLS NEEDED:** Qualified candidates will have strong communication, organization, and time management skills; ability to work independently and in groups, and basic computer, financial, and research skills. **UNUSUAL WORK CONDITIONS:** This position routinely requires work outside of regular business hours (i.e., nights and weekends), and regular travel to off-campus student events, including a weekly program. A valid driver’s license and access to reliable transportation are necessary to meet this requirement. The ability to lift/carry items upwards of 30 lbs. is required. **REPORTS TO:** Associate Dean of Students **ESSENTIAL FUNCTIONS:** (List and describe duties/responsibilities and state any delegated authority if significant) Off-Campus Student Life + Coordinate with the associate dean to assist with off-campus student leadership oversight and development. + Coordinate and attend off-campus weekly clean-ups on Sunday mornings, which occur approximately 8 to 10 times each semester. + Coordinate the collection of off-campus student addresses and maintenance of off-campus student roster. + Design and send communications to off-campus students. + Create and distribute a recurring newsletter for off-campus students. + Coordinate off-campus webinars. Student Conduct + Serve as hearing officer for student conduct cases. + Design and run student conduct reports requested by supervisor. + Schedule student conduct hearing appointments. + Provide administrative support for the Peer Conduct Board. Office Support + Assist in coordinating office operations to maximize the effectiveness of front desk, student conduct and off-campus operations. · Answer phone calls, retrieve messages, and transfer calls to appropriate offices. + Coordinate student employee projects and assignments, ensuring tasks are completed accordingly. + Maintain and organize a safe and clean front desk area. + Provide support to students and visitors who visit the office. + Assist with student record management. + Analyze data and make recommendations to supervisor for processes improvements. + Proofread and edit documents and communications. + Send communications to students related to student conduct matters using Maxient software. Additional Responsibilities + Participate in the professional development of the department by promoting efficiency and courtesy throughout the University community, participating in departmental/staff meetings as necessary, serving as a responsible committee representative as requested, and communicating effectively with supervisor concerning pertinent matters. + Promote safe and secure working conditions by promoting the proper utilization of equipment, tools, and materials, and notifying supervisor immediately regarding any unsafe working conditions. + Perform other related duties as dictated by responsibilities or directed by supervisor.
