Job Description

SUMMARY

Reporting to the Associate Dean for Faculty and Academic Affairs, the Program Associate interfaces with administrators, professional staff, faculty, campus-wide partners, and community members to provide administrative support across the College of Communication and Media’s myriad functions. The Program Associate is responsible for advancing the Dean’s Office’s day-to-day operations by facilitating administrative processes, clerical duties, and reception/correspondence.

PRINCIPAL DUTIES AND RESPONSIBILITIES

Provide day-to-day administrative support of the Dean’s Office, including reception and clerical services.

Assist with Workday processing for all personnel-related actions and maintain administrative calendars .

Submit and follow through on work orders for facilities issues.

Assist with the annual cycle of faculty line requests and budget requests.

Develop and maintain information databases and produce reports.

Assist with budget and financing, including requisitioning, amendments, supplier invoicing, international projects, and summer activities such as dual enrollment residencies (e.g., Summer Bridge).

Coordinate and plan special events for the Dean’s Office.

Perform other duties as assigned.

Management retains the right to add or change job duties at any time.

QUALIFICATIONS

REQUIRED:

Bachelor’s degree from accredited college or university.

A minimum of one year of professional experience in higher education or related field.

Excellent verbal/written communication and interpersonal skills.

Ability to set goals, prioritize tasks, and work successfully in a fast-paced environment with pressing deadlines.

Ability to work independently and be an effective team player while exhibiting excellent judgment and discretion (including maintaining confidentiality) at all times.

Strong organizational skills.

Proficiency with word processing, spreadsheets, forms, and other software applications used for processing content.

Ability to learn new software applications.

PREFERRED

Experience using software tools endemic to the Montclair institution, including Workday, 25Live, Tableau, etc.

Professional experience in a higher education environment.

Salary Range

$55,142.18-$60,654.29 Annually
