A Hybrid working model

Role Summary: The role involves managing administrative and financial tasks related to production projects, vendor management, talent usage, and payments. The individual will collaborate with internal teams, suppliers, and clients to ensure smooth project execution while adhering to client guidelines and timelines. Strong organizational skills, attention to detail, and the ability to handle multiple tasks are essential for success in this position.

Key Responsibilities: Admin and Finance Matters: Setting up vendors for project-related activities Preparing project cost estimates/quotations and purchase orders Ensuring cost clearance with the Unilever RAP team Updating monthly revenue reports Addressing general administrative and financial matters Following up frequently with Finance and Accounts Servicing teams to obtain client DOs before issuing purchase orders to suppliers Providing support to teams on client guidelines and processes Assisting Producers with PPM meetings and production decks Organizing and archiving project-related financial records Managing multiple tasks and projects simultaneously Talent Usage Extension / Talent Payments: Reaching out to suppliers to obtain quotations based on required usage types and specifications Conducting due diligence checks on received quotes, including verifying amounts, tax details, and usage specifications Sharing total costs with the Accounts Servicing team and awaiting confirmation for further steps Retrieving archived Master quotes and sharing them along with new quotes with the Unilever RAP team Communicating client feedback to suppliers and negotiating cost reductions when necessary Managing administrative and financial aspects of talent usage, including generating cost estimates for client DOs, creating purchase orders, and ensuring timely supplier payments Requirements: Diploma in Marketing/ Production or a related field is preferred Prior experience in administrative and financial roles, especially in production or media-related industries Familiarity with vendor management and procurement processes Strong organisational and multitasking abilities Excellent communication and negotiation skills Proficiency in financial reporting and record-keeping Attention to detail and accuracy in handling financial data Ability to work collaboratively with cross-functional teams Ability to meet deadlines in a fast-paced environment Proactive approach to problem-solving and follow-ups
