Procurement Process Specialist

And under this roof, we protect what matters most. **Team Summary** The Procurement Business Administration Team provides critical support across the procurement lifecycle, ensuring the accuracy, integrity, and efficiency of procurement data and processes. Leveraging strong attention to detail, technical proficiency, and analytical skills, the team manages a wide range of responsibilities including vendor and contract lifecycle management, processing financial transactions and generating essential procurement reports. This team is instrumental in maintaining robust supplier relationships, ensuring compliance with established policies, and providing the foundational data and insights that enable category managers to drive strategic sourcing initiatives and optimize spend. Their collaborative approach and commitment to data management are key to maintaining cohesion within procurement data and supporting overall Supply Chain objectives. **Job Summary** The Procurement Process Associate, a key member of the Procurement Operations & Excellence Team, will leverage strong analytical, organizational, and technical skills to meticulously manage procurement data and support Drop Ship processes. This role is integral to ensuring the accuracy and efficiency of procurement operations, providing critical support for vendor and contract lifecycle management, financial transaction processing, and comprehensive reporting. The Associate will collaborate cross-functionally with Customer Care and Category Management teams, utilizing their communication and problem-solving abilities to maintain transparent information flow regarding Drop Ship Purchase Orders and contribute to overall Supply Chain objectives. Finally, the Procurement Process Associate will provide insights on trends observed in data collection and offer recommendations on how to improve business workflows and processes. **Essential Duties** + Support Contract Lifecycle Management• Set up vendors.• Upload Certificates of Insurance (COI's).• Migrate Coupa contracts into the Contract Management System (CMS).• Enter Contract and Statement of Work filing in CMS.• Upload Contracts and report on upcoming Milestones.• Upload and Maintain Non-Disclosure Agreements (NDA's). + Process Purchase Orders and Invoices• Address Invoice processing issues.• Process rebate and credit issues in Carta.• Address and Manage Pricing issues. + Provide Procurement Reporting• Publish Days on Hand (DOH) Report by Commodity, Supplier, and Vendor.• Report on Potential Save Events using Inventory Volumes.• Report Plant Actuals vs. RMSP forecast monthly analytics.• Generate PS Contract Tracking Report (total spend, utilization & runout dates).• Review & Report asphalt shipments vs. supplier requested schedule.• Report on live volume commitment tracker. + Conduct Spend Analytics• Report on Potential Save Events using Inventory Volumes.• Provide insights to Senior Category managers. + Provide Support for Procurement and Sourcing Initiatives• Create and Publish Schedule/Sourcing Plan by Plants.• Provide suppliers monthly asphalt shipment schedule and PO numbers. + Manage Supplier Data and Information• Manage Raw Material Item requests• Manage Rebate Tracking via volume, spend + RMSP.• Enter Supplier Pricing Updates into PS.• Perform Asphalt FAST sheet data entry. + Ensure Policy and Regulation Compliance• Identify and mitigate non-compliant procurement workflow occurrences• Send material compliance letters and log results. + Ad-Hoc Administrative Tasks• Handle Supplier Code of Conduct distributions to non-strategic/unmanaged vendors.• Assist with Oregon packaging exercises. **Under This Roof We Require** + H.S. Diploma or General Education Degree (GED) required + 2 or more years of experience in a business role + Solid understanding of standard procurement and supply chain concepts, practices, and procedures + Technical Proficiency/Systems Acumen: Strong ability to work with various procurement systems and tools, including SAP, Contract Management Systems (CMS), Coupa, Carta, and to understand the order lifecycle. + Data Management: Proficient in entering, maintaining, and managing large datasets, particularly related to supplier information, pricing, and contract details. + Organizational Skills: Essential for managing various aspects of the contract lifecycle, prioritizing multiple tasks, handling diverse reporting requirements, and maintaining organized supplier data. + Attention to Detail: Critical for accurate vendor setup, contract migration, invoice processing, data entry (e.g., pricing updates, FAST sheets), and precise reporting (e.g., DOH, spend analytics, forecasts). + Organizational Skills: Essential for managing various aspects of the contract lifecycle, prioritizing multiple tasks, handling diverse reporting requirements, and maintaining organized supplier data. + Analytical Skills: Needed to provide data trend insights, report on potential save events, analyze plant actuals vs. forecasts, track contract utilization, and manage rebate tracking. + Problem-Solving: Required to improve workflows, address invoice processing issues, pricing issues, as well as to identify and resolve discrepancies in reports. + Technical Proficiency/Systems Acumen: Strong ability to work with various procurement systems and tools, including Contract Management Systems (CMS), Coupa, Carta, and PeopleSoft (PS), and to understand the order lifecycle. + Communication (Written and Verbal): Important for preparing clear and concise reports, communicating with suppliers (e.g., asphalt shipment schedules, MFN compliance letters), and collaborating internally on procurement initiatives. + Time Management: Necessary to handle a diverse set of tasks with varying deadlines, including managing upcoming contract milestones and delivering regular reports. + Compliance Orientation: Demonstrates an understanding of and adherence to established policies and regulations, especially in sending MFN compliance letters and managing contract terms. + Data Management: Proficient in entering, maintaining, and managing large datasets, particularly related to supplier information, pricing, and contract details. **Under This Roof We Also Value** + Bachelor’s Degree preferred + Experience with direct (raw material) procurement, chemical, or roofing operations + Technical experience within roofing plant + Knowledge of Google Suites + Experience in the use of ERP system (Oracle/PeopleSoft, SAP, or equivalent) + Familiarity with financial management and analysis **Physical Demands** + Stationary Position - Frequently + Stationary Position/Seated - Frequently + Position Self/Stooping - Occasionally + Position Self/Kneeling - Occasionally + Position Self/Crouching - Occasionally + Reaching - Occasionally + Handling - Occasionally + Grasping - Occasionally + Communicate/Talking - Frequently + Communicate/Hearing - Frequently + Repetitive Motions - Frequently **Working Conditions** + Temperature Change - Occasionally **Travel Requirements:** 5% May require occasional travel in connection to job duties as it relates to conferences, site visits, professional development or learning opportunities, etc. in which advance notice of travel expectations/events will be provided. Base salary and/or rate of pay ranges listed are exclusive of fringe benefits and potential bonuses. Individual compensation offers will be determined based on a variety of factors, including but not limited to geographic location, relevant candidate experience and skill, education, and/or qualifications.
