The Contract Administration Analyst position is responsible for supporting and working with the Global Procurement category teams, Legal organizations throughout Reed Elsevier and business stakeholders to receive fully executed (dually signed) contractual documents, Master Agreements, non-disclosure agreements, statements of work, work authorizations, Codes of Conduct, and any other designated legally binding contractual agreement identified and to electronically upload these documents into the centralized Fusion contract repository. This position will be responsible for establishing and maintaining a well-defined file structure that houses the contract documentation, as well as completing all associated metadata for each document uploaded, so users of the Oracle Fusion centralized repository can utilize the repository to extract documentation or to research documentation on an as needed basis. This position works closely with business stakeholders, Procurement Generalists and Specialists and the GP category teams, as well as regional procurement leads to locate specific agreements that can be leveraged across local, national and global entities. The Contract Administration Analyst position will also be responsible for providing proactive notification to GP category teams of contracts expiring, as well as performing contract close out activities. Additional tasks that the Contract Administration Analyst may be called upon to support in this role include quantitative and qualitative reporting and tracking related to the Socially Responsible Supplier List/Survey and the Supplier Codes of Conduct, and related metrics. The Contract Administration Analyst also identifies process improvements to drive efficient, effective procurement operations relative to the Oracle Fusion centralized contract database to support business needs while ensuring contractual risks are managed. The position interfaces on a daily basis with assigned GP category teams to gain approvals and understanding of category strategies and preferred suppliers, to ensure alignment between category and PMO objectives/initiatives, and drive results against GP metrics. The Contract Administration Analyst position also serves as an ambassador to the business ensuring procurement and contract retention policies, processes, and best practices are understood and supported.
The eSourcing Analyst position is responsible for leading the Global Procurement category teams and business stakeholders in building, maintaining and training of RFx projects within current eSourcing & SPM platform. This position works closely with business stakeholders, GP Procurement Leads and Specialists and the GP category teams, as well as regional procurement leads, to enable local, national and global collaboration, and subsequently leverage existing business opportunities across multiple geographies and business groups. The eSourcing Analyst also identifies process improvements to drive efficient, effective eSourcing operations relative to the eSourcing and PMO processes to support business needs while ensuring supplier risks are managed and mitigated. The position interfaces daily with GP category teams to provide online training & managing of online sourcing events, assist with ad hoc tasks/projects, and to ensure alignment between PMO objectives/initiatives with the categories, and drive results against GP eSourcing metrics. The eSourcing Analyst position also serves as an ambassador to the business ensuring procurement policies, processes, and best practices are understood and supported.
The eSourcing Analyst is also responsible for ensuring the efficient and effective management of multiple eSourcing projects (RFQ, RFI, RFP, eAuctions), vetting business requirements and enforcing risk mitigation and training of due diligence where applicable. Further, the eSourcing Analyst works directly with global GP Category teams to ensure effective roll-out of process improvements such as eSourcing/SPM tools. The eSourcing Analyst will serve as the focal (Subject Matter Expert) of the eSourcing/ SPM relating to scope and accountabilities, by communicating best procurement practices and policies, including communication and training to relevant teams on eSourcing and SPM platforms and techniques. The eSourcing Analyst will also act as primary ‘back-up’ for the eSourcing and SPM platforms during team absence.
Job Qualifications:
Graduate of any Bachelor's degree, preferably Accountancy, Finance, Business or equivalent.
At least 3 years of experience in Supply Chain Management or Procurement Operations gained from medium to large scale organizations.
Excellent Procurement skills, advanced skills on P2P processes, a basic understanding of procurement matters such as supplier onboarding/vetting, RFI/RFQ/RFP, e-Auctions, negotiations, catalog management, purchase orders, terms and conditions, and contracts.
Ability to multi-task, handling quick turnaround, high-value procurements.
Excellent time management skills.
Experience with major enterprise systems such as Oracle, SAP or Peoplesoft and Oracle Fusion.
