Procure-to-Pay (P2P) Specialist

Job Summary:

The Procure-to-Pay (P2P) Specialist is responsible for receiving drop shipments, equipment rentals, indirect cost, and subcontract labor, as they relate to open PO’s in multiple ERP systems.  This role will ensure precise three-way matching takes place for Accounts Payable.  Troubleshoots and resolve discrepancies from PO to invoice.  Ensures the efficient and accurate processing of received goods while maintaining compliance with company policies and internal controls.

Key Responsibilities:

Verifying receipt of items by comparing them to items ordered

Update PO status to Received, ensuring exact match for Payment Processing

Coordinate with Procurement, Project Managers, and Accounts Payable regarding receipt of goods.

Investigate and resolve invoice discrepancies against PO line items.

Review open PO’s to determine if there are issues with orders or invoicing from the vendor. 

Ensure adherence to internal controls, accounting policies and compliance

Support month-end and year-end closing activities related to payables.

Participate in system improvements, process optimization, and automation initiatives.

Maintain accurate and up-to-date documentation of all P2P processes and procedures.

Collaborate with Accounts Payable and Procurement to ensure proper vendor selection.

Qualifications:

Education & Experience:

Associates degree in Finance, Accounting, Business Administration, or a related field.

2–5 years of experience in accounts payable or P2P operations in a shared services or corporate environment.

Skills & Competencies:

Strong understanding of the end-to-end P2P cycle.

Proficient in ERP systems (Infor LN,) and Microsoft Office (Excel, Word, Outlook, Teams).

Excellent attention to detail and organizational skills.

Strong communication and interpersonal abilities.

Ability to work independently and within a team in a fast-paced environment.

Problem-solving mindset with a focus on continuous improvement.

Preferred Qualifications:

Experience in a global or multinational environment

Knowledge of tax compliance (e.g., VAT, sales/use tax) related to AP transactions.
