Practice Administrator - Otolaryngology
Description Location: UCHealth Anschutz Outpatient Pavilion - Aurora, CO Department: ENT Otolaryngology FTE: Full Time, 1.0, 80.00 hours per pay period (2 weeks) Shift: Days Pay: $39.32 - $62.90 / hour. Pay is dependent on applicant's relevant experience Summary: The Practice Administrator for the Ear, Nose, and Throat (ENT)/Otolaryngology department is responsible for overseeing the day-to-day operations of a high-volume specialty practice within a hospital setting. This role combines leadership, strategy, and operational expertise to ensure exceptional patient care, regulatory compliance, and financial performance. The ideal candidate will bring strong interpersonal skills, experience managing clinical and administrative staff, and a deep understanding of ENT clinical workflows and hospital-based practice management. Key Responsibilities: Operational Oversight: + Direct and supervise daily clinical and administrative operations for the ENT/Otolaryngology practice, including front desk, scheduling, medical assistants, audiology support, and clinical workflows. + Develop and implement efficient systems for patient intake, visit flow, documentation, and follow-up to ensure a high-quality patient experience and provider productivity. + Ensure compliance with hospital policies, healthcare regulations, and accreditation standards (e.g., Joint Commission, HIPAA, OSHA). Financial and Budget Management: + Prepare, manage, and monitor the departmental budget, ensuring cost-effective operations while maintaining high standards of care. + Analyze financial reports, productivity metrics, and billing data to identify trends, reduce variances, and optimize revenue cycle performance. + Oversee insurance verification, coding accuracy, and prior authorization processes in collaboration with the billing team. Staff Leadership and Development: + Hire, train, supervise, and evaluate clinical and administrative staff, promoting a culture of teamwork, accountability, and patient-centered care. + Coordinate staffing schedules to ensure optimal clinic coverage while managing time-off requests and workload distribution. + Provide coaching, conflict resolution, and professional development opportunities to foster high-performing teams. Provider and Patient Relations: + Act as the primary liaison between physicians, hospital leadership, and support teams to ensure alignment on goals, resource needs, and quality initiatives. + Address and resolve patient concerns or complaints promptly and professionally, ensuring excellent service recovery and continuous improvement. + Support physicians with operational needs, including scheduling, credentialing, EMR optimization, and workflow design. Quality Improvement & Strategic Growth: + Lead initiatives to improve patient access, reduce wait times, and expand service offerings (e.g., allergy testing, voice clinic, balance center). + Track key performance indicators (KPIs) related to patient satisfaction, clinical outcomes, and operational efficiency. + Collaborate with marketing, community outreach, and referral development teams to increase patient volume and brand visibility. This position is an onsite role and does not offer a hybrid or remote option. Requirements: + Minimum Required Education: HS diploma or GED. Preferred: Bachelor's degree in related field + Required Licensure/Certification: Relevant life support certification as determined at position level. + Minimum Experience: 3 years of relevant healthcare leadership experience, completed administrative fellowship, or progressive clinical experience.
