The Valent BioSciences manufacturing site located on an expansive 73-acre site in Osage, IA is a state of the art 130,000 square foot plant and is the largest purpose-built biorational facility in the world. It serves as the manufacturing and quality control center for Valent BioSciences broad portfolio of fermentation products. Job Summary and Key Objectives As Plant Administrative Supervisor you will play a vital role in supporting daily operations at the manufacturing facility by providing administrative, custodial oversight, and logistical support across plant and maintenance functions. You will serve as the front-line representative for visitors and callers while also coordinating with the Maintenance department on parts management, recordkeeping, and scheduling. In addition to administrative responsibilities, this role provides direct supervision and leadership to the plant cleaning team, ensuring the facility is maintained in a clean, safe, and compliant condition. Oversight includes task assignment, performance feedback, supply coordination, and adherence to cleanliness and sanitation standards. The ideal candidate is highly organized, adaptable, and capable of managing multiple priorities in a fast-paced environment. This role requires strong communication, coordination, and leadership skills, attention to detail, and the ability to work collaboratively across departments to ensure smooth and efficient plant operations. Essential Functions + Plant Administrative Support + Greet and check in visitors during lobby hours, maintaining a welcoming and professional first impression. + Respond to general inquiries and provide relevant company information to callers. + Answer and route incoming calls with clarity, accuracy, and professionalism. + Process employee expense reports and manage travel arrangements, including flights, rental cars, and hotel bookings. + Manage the employee uniform program, ensuring proper orders and distribution. + Maintain an inventory of office and breakroom supplies, handling requisition and restocking as needed. + Manage breakroom vendors to ensure consistent service and supply levels. + Places office supply orders for all departments, ensuring timely procurement of supplies. + Assist with internal communications and event coordination, including meetings, employee activities, and site functions. + Organize food and beverage arrangements for meetings and oversee meeting room scheduling. + Process and distribute incoming and outgoing mail and deliveries (USPS, FedEx, UPS, couriers, etc.). + Management of the company duplex, including reservations, cleaning coordination, and supply inventory. + Distributes the monthly Site Leadership Team report with key updates and metrics. + Maintenance & Facility Support + Serve as the primary administrative support for the Maintenance department. + Under the direction of the Maintenance Planner/Scheduler, manage, receive, process, and order spare parts using the Computerized Maintenance Management System (CMMS). + Coordinate with the Planner/Scheduler to order parts for planned maintenance of production equipment. + Process data entry and generate maintenance reports as needed. + Perform cycle counts on maintenance parts and inventory, ensuring accuracy. + Maintain and organize all maintenance-related records and documentation. + Custodial Oversight & Facility Cleanliness + Supervise the plant custodians, providing daily direction, assigning tasks, and ensuring all work is completed to maintain high standards of cleanliness and sanitation across the facility. + Serve as the primary point of contact for facility cleaning operations, overseeing routine and deep-cleaning schedules, aligning priorities with operational needs, and ensuring appropriate inventory of cleaning supplies. + Conduct regular facility walkthroughs to assess cleaning effectiveness, identify areas needing improvement, and verify adherence to cleanliness and safety standards. + Provide training, coaching, and developmental support to team members involved in plant cleaning to ensure efficient practices and compliance with safety protocols. + Other duties as assigned. Preferred Qualifications and Education + Associate degree in Administrative Assistance or related field (or equivalent experience). + 3–5 years of administrative and/or facilities coordination experience, preferably in a manufacturing or operations environment. + 1+ year of supervisory or team lead experience, preferably overseeing facilities, custodial, or plant operations staff + 6+ months of experience in material requirements planning or parts control (preferred). + Strong written and verbal communication skills. + Proven ability to multi-task, manage multiple projects, and adapt to sudden changes. + Ability to handle highly confidential and sensitive information with discretion. + Strong organizational skills and attention to detail. + Proficiency in Microsoft Office Suite (Word, Excel, Outlook, PowerPoint). + Experience with CMMS or Inventory Management Systems (preferred).
