The People & Workplace Specialist is a key member of the People (HR) and Office Management team, responsible for the day-to-day support of core HR processes and the cultivation of an organized, engaging and inclusive office environment at our New York location in the Koreatown / Nomad area.
This position requires the Specialist to work onsite Monday - Friday throughout core business hours, generally 9am - 6pm with breaks.
The ideal candidate is highly organized and detail-oriented, with a passion for data integrity and providing an exceptional employee experience.
Please note this is a temporary role with an initial 8-10 week period with potential for a permanent placement.
What You'll Achieve
1. Team Member Inquiries and HR Operations Support
Serve as the first point of contact for employee inquiries by managing the PeopleOps shared email inbox Process employee lifecycle changes such as promotions or other position changes, ensuring high data integrity across HR systems (ADP, ChartHop) Assist with bi-weekly payroll by summarizing needed adjustments for North America Contribute to process improvement by identifying opportunities to streamline workflows, assisting in documentation, and helping to devise and test new processes and systems Provide administrative support for other key processes such as offboarding and during the annual performance and compensation cycles Support incentive plan administration Support ongoing audits and corrections of people data to ensure high data integrity2. Workplace Experience & Office Management
Ensure the physical office environment is neat, well-stocked, welcoming, and conducive to productivity and building connections Greet team members and visitors to create an inclusive and engaging experience that reflects the GumGum brand Act as the primary liaison to building management and all office-related vendors coordinating all work to ensure resolution and/or escalation as needed Coordinate with Sales, Marketing, and Employee Experience teams to ensure shared storage in the office is neat, well-utilized, and actively managed Handle all company shipping and receiving Implement workplace safety or compliance procedures, including the management of office access and security systems and the posting of required in-office notices3. Meeting & Event Coordination
Work with the Employee Experience team, support the planning and execution of onsite, remote, and hybrid events and meetings Handle event logistics, including budget determination, expense projections, vendor coordination, and catering Support all aspects of in-office event setup, teardown, and cleanupSkills You'll Bring
2 years of experience in supporting HR operations, administrative work, office support, and/or event coordination Experience with HRIS systems (ADP, Greenhouse, ChartHop are a plus) and proficiency in Google Suite This position requires working in the New York City office five days a week. Exceptional attention to detail and a commitment to data integrity Strong interpersonal and communication skills, with the ability to interact with all levels of the organization. The reasonable estimated hourly pay for this role is from $32-38/Hour.
