About the location:

Occupying the top floors of a landmark 39-floor tower, Four Seasons Hotel Tokyo at Otemachi seamlessly blends modern high-style design with classical Japanese elements. To assist the People and Culture Manager with the direction of all aspects of the People and Culture division including benefits administration, employee relations, recruitment and retention of staff, communication to staff, career development of staff, wage & hour compliance, training, workers’ compensation and legal matters related to hotel employees. 

What you will do

People Functions

Maintain a harmonious and professional relationship with co-workers, supervisors and all departments.

Comply with and enforce Four Seasons’ Category One and Category Two Work Rules and Standards of Conduct as set forth in EmPact.

Builds and maintains excellent relationships with all vendors.

Assists management and line employees with any concerns or questions.

Assist in other areas of the department as needed.

Administers, updates and trains employees on behalf of Human Resources in various areas, including Benefit Programs, EMBARK, and Standard Training.

Provides assistance relating to employee relations such as direct line committee organization, employee communication, bulletin boards, employee of the month program, employee picnics, parties and townhall meetings.

Effectively communicates with employees regarding all HR related and Hotel information through a variety of different methods including bulletin boards, employee handouts and mailings.

Perform any additional duties as assigned by the Director of People and Culture or People and Culture Manager.

Profit Functions

Generates and distributes all monthly reports including overdue performance reviews, birthday, People and Culture Turn-over reports.

Maintain the job requisitions/posting system and the turnover log.

Provides support to the annual budget process as necessary regarding life insurance, medical and dental plans and the 401k plan.

Prepares and submits in respond to the Director of People and Culture.

Product Functions

Understands the various local laws pertaining to employment and benefits.

Researches and advocates benefit programs to hotel management for staff.

Understands the applicable Four Seasons policies.

Conducts benefits orientation for newly hired employees.

Properly enrolls employees and their dependents in local Social Insurance, international benefit programs and local DC plan.

Determines enrollment eligibility for part-time employees, transferred employees, and on-call staffers for Social Insurance programs.

Coordinates and conducts Local DC enrollment meetings and investment seminars.

Files accurate and timely worker’s compensation reports.

Screens applicants; do reference checks, forward applications to Department Heads and Division Heads, mail form letters, process new hires, and complete new hire files.

Processes PSAs, including completing, distributing and filing. All PSA should be delivered in a confidential envelope when routing.

Handles employee educational reimbursement submittals, name tag/ID card orders, disbursement of social insurance related forms.

Tracks vacation, sick leave and comp night dates for each hotel employee.

Processes a terminated employee.

Maintains complete files for all current and terminated employees.

Ensures that safety awareness programs are on-going.

Updates and generates all reports and update Workday

Maintain confidential information and to properly document information for payroll purposes, i.e. new hire, personal information, wage changes, termination, etc.

Generates the monthly activities calendar.

Orders service awards as needed.

Ensures that the employee locker room is clean and orderly.

Ensures that the cafeteria is clean and well decorated during holidays and special events.

Maintains employee transfer request files, and processes transfer inter hotel and intra hotel applicants including copying of files.

What you bring

Require a flexible schedule in order to accomplish all major responsibilities and tasks.

Require a working technical knowledge of generally accepted accounting principles and Four Seasons Internal Controls, Policies and Procedures as they relates to Cashiering.  Working knowledge is generally learned on the job.

Ability to operate fax, scanner, copier, telephone, adding machine, calculator.

Require knowledge of and the ability to operate computer equipment and Microsoft Office Suite software.

Ability to read, write and speak Japanese and English.

Schedule & Hours:

•     40 working hours per week. 

•     10 days off every month except February (9 days)
