Pediatric Office Manager
Job Title: Pediatric Office Manager Job Description The Pediatric Office Manager is entrusted with the oversight of the daily administrative operations within a pediatric medical office. This role is vital for ensuring smooth clinic workflows, efficient patient scheduling, accurate billing, and adherence to healthcare regulations. The Office Manager acts as a liaison between clinical staff, administrative personnel, and patients, thereby fostering a welcoming and organized environment for families and children. Responsibilities + Supervise front desk and administrative staff, including hiring, training, and conducting performance evaluations. + Manage patient scheduling, registration, and check-in/check-out processes. + Oversee billing, coding, payroll, and insurance claims to ensure timely and accurate reimbursement. + Maintain patient records in compliance with HIPAA and other regulatory standards. + Coordinate with clinical staff to ensure efficient patient flow and appointment management. + Order and manage office and medical supplies, ensuring cost-effective inventory control. + Handle patient inquiries, complaints, and feedback with professionalism and empathy. + Prepare reports on clinic performance, staffing, and financial metrics for leadership review. + Ensure compliance with pediatric healthcare standards and internal SOPs. + eSupport onboarding and orientation of new hires, including job description reviews and employment verifications, etc. Essential Skills + Office management + Customer service + Administration + Outlook + Payroll + Office administration + Administrative support + Data entry + Microsoft Office + Clerical + QuickBooks + Microsoft Excel + Medical billing + Insurance verification Additional Skills & Qualifications + Bachelor’s degree in healthcare administration or related field + Minimum 5 years of experience in medical office administration, preferably in a pediatric or family practice setting + Strong knowledge of medical billing, insurance verification, payroll, and EMR systems (eMeds) + Excellent organizational, leadership, and interpersonal communication skills + Ability to multitask and remain calm in a fast-paced, child-centered environment + Experience writing SOPs and optimizing workflows + Experience with medical home recertification via AHCA + Experience liaising with EMR vendors and physicians within practice + Proficiency in Microsoft Office Suite and healthcare scheduling software + Bilingual skills (e.g., English/Spanish) are a plus but not required + Entrepreneurial mindset Work Environment This position is 100% onsite at a pediatric medical clinic in Boynton Beach, working Monday through Friday, from 7:30 AM to 5 PM. You will be part of a team including 6 physicians, 5 medical assistants, 1 referral coordinator, 1 back office coordinator, 2 insurance verification specialists, and 2 receptionists. Pay and Benefits The pay range for this position is $80000.00 - $80000.00/yr. Eligibility requirements apply to some benefits and may depend on your job classification and length of employment.
