Job Description
This role primarily involves payroll processing and compliance, accounting for about 60% of the workload. The remaining 40% involves providing administrative and office support. The ideal candidate will manage end-to-end weekly payroll tasks, including timecard validation, batch posting, and check printing. Utilizing Viewpoint Vista and HCSS HeavyJob for payroll and equipment entry is essential. You will also prepare Certified Payroll Reports, ensuring compliance with prevailing wage laws applicable to Nevada, California, and Hawaii. Additionally, you will track and report fringe benefits, deductions, and union contributions, as well as process weekly tax payments and garnishments. Administrative duties include front desk operations, maintaining office supplies, supporting document preparation, assisting executives, and coordinating cross-departmental training. Local errands may also be required using a company vehicle.
ResponsibilitiesManage end-to-end weekly payroll, including timecard validation, batch posting, and check printing.Utilize Viewpoint Vista and HCSS HeavyJob for payroll and equipment entry.Prepare Certified Payroll Reports and ensure compliance with prevailing wage laws.Track and report fringe benefits, deductions, and union contributions.Process weekly tax payments, garnishments, and payroll-related documentation.Perform front desk duties, including handling phones, filing, and new hire paperwork.Maintain office supplies and support document preparation.Assist executives with clerical tasks and coordinate cross-departmental training.Run local errands, such as visiting the post office and bank, using a company vehicle.Essential Skills2+ years of payroll processing experience, preferably in the construction industry.Proficiency in Excel, including pivot tables and data analysis.Strong attention to detail and ability to meet tight weekly deadlines.Excellent communication and organizational skills.Additional Skills & QualificationsKnowledge of certified payroll, prevailing wage laws, and union compliance.Experience with multi-state projects and handling various rates across jobs and jurisdictions.Familiarity with DIR and LCP Tracker platforms, with training provided.Experience with Viewpoint Vista and HCSS HeavyJob is a plus.Self-starter with the ability to own the role with minimal guidance.Work Environment
The accounting team consists of three women, including a Controller, a Payroll Supervisor, and an AR Representative. You will be the fourth member, working in an office setting with your own enclosed office that overlooks the Truckee River. The office is situated in a modern mountain-style building with high ceilings and retractable glass doors. It includes a full kitchen and a large covered deck with seating and a BBQ. The location is in Sparks, requiring a commute, but the scenic environment makes it worthwhile. An office dog is present three days a week, adding to the friendly atmosphere.
Pay and Benefits
The pay range for this position is $28.00 - $32.00/hr.
