Payroll Specialist
Description We are looking for a detail-oriented Payroll Specialist to join our team in Rancho Cordova, California. In this Contract-to-Permanent position, you will play a key role in managing payroll operations, ensuring accuracy, compliance, and timely processing for a dynamic workforce. Responsibilities: • Process weekly payroll for approximately 200 employees, ensuring accuracy in hours, wages, overtime, bonuses, and deductions. • Maintain and update payroll records for new team members, departures, salary adjustments, and benefit deductions. • Ensure compliance with federal, state, and local tax regulations, including accurate withholding, reporting, and remittance. • Administer benefit deductions such as health insurance, retirement plans, and other voluntary contributions. • Generate and analyze payroll reports for management, including labor distribution, tax summaries, and year-end W-2 and 1099 preparation. • Investigate and resolve payroll discrepancies and address employee inquiries regarding paychecks, deductions, and tax forms. • Collaborate with HR and department managers to verify timekeeping data and ensure accurate payroll input. • Support internal and external audits by providing payroll records and documentation. • Identify and implement process improvements to streamline payroll operations and enhance efficiency. • Maintain strict confidentiality of payroll and employee information at all times. Requirements • Proficiency in payroll software systems, with experience in ADP payroll and financial services preferred. • Strong understanding of federal, state, and local payroll regulations and tax compliance. • Proven experience in processing payroll for medium to large-sized organizations. • Excellent attention to detail and organizational skills to ensure accuracy in all tasks. • Ability to manage sensitive information with confidentiality and professionalism. • Strong problem-solving skills to address payroll discrepancies and employee concerns. • Effective communication skills for collaborating with HR, management, and employees. • Experience in generating and analyzing payroll reports for management use.
