Description
We are looking for an experienced Payroll Specialist to help our team in Santa Rosa, California. In this role, you will play a pivotal part in ensuring accurate and timely payroll processing for our organization. As a long-term contract position within the non-profit sector, this opportunity is ideal for professionals with strong attention to detail, excellent organizational skills, and a passion for delivering exceptional payroll services.
Responsibilities:
• Review and verify employee timesheets to ensure compliance with wage and hour regulations and organizational policies.
• Process bi-weekly and supplemental payrolls, including new employee setups, changes in status, and accurate time record entries.
• Create and manage payroll-related journal entries, account transfers, and automatic payment requests for benefits and deductions.
• Generate, review, and save payroll reports while ensuring paychecks and pay statements are distributed promptly.
• Handle manual payroll tasks, such as issuing final paychecks and processing vacation payouts in adherence to deadlines.
• Maintain accurate leave records for sick, vacation, and unpaid time off, distributing reports to supervisors regularly.
• Collaborate with supervisors to update payroll categories, workers’ compensation rates, and labor distribution percentages.
• Prepare and review quarterly payroll tax returns and labor statistics reports for submission within required timeframes.
• Conduct audits and provide payroll-related documentation for reviews and benefit audits as needed.
• Monitor employee payments and ensure employment verification forms are processed accurately.
Requirements • Proficiency in Spanish is highly preferred.
• Strong ability to work independently and collaboratively with various departments and staff.
• Proven experience in handling high-volume workloads and prioritizing tasks effectively in fast-paced environments.
• Expertise in researching payroll issues, problem-solving, and resolving challenges promptly.
• Demonstrated proficiency with web-based payroll systems, Microsoft Office programs (especially Excel), and accounting software.
• Excellent judgment and adherence to confidentiality standards.
• Availability to work occasional additional hours to meet deadlines and flexibility to work on-site as needed.
• Minimum of 2 years of experience in payroll processing or related functions.
