Are you looking for an opportunity to develop your skills and grow? As a Payroll Intern your focus will be on supporting HR administrative tasks related to employee data and documentation management.
In This Role, Your Responsibilities Will Be:
Managing Employee Sick Leaves: Taking over employee sick leave cases, verifying documentation, and submitting them to the payroll provider for accurate processing in Global View and correct salary calculation. Time & Absence System Oversight: Maintaining the Time & Absences system, verifying payroll-related data, and ensuring timely resolution of discrepancies through close communication with employees. Observing all types of leave, including vacation, sick leave, and unexcused absences. Exit Documentation: Preparing exit notes and contribution period certificates for departing employees, and ensuring these documents are properly followed up and archived in accordance with company procedures. HR Systems Data Management: Accurately updating employee information in Global View, implementing data quality, and developing procedures for system updates. Employee Records Maintenance: Entering and updating personal and supplementary employee data in internal systems and databases and ensuring accuracy in internal HR reports. Certificate Preparation: Issuing various employee-requested certificates (e.g., income, seniority, medical, embassy, unemployment), and providing copies of personnel file documents in line with internal procedures. Document Distribution: Sorting and distributing employment-related documents to employees and updating corresponding data in HR systems. Document Archiving: Archiving departmental and HR-related documents in compliance with internal procedures. Regulatory Compliance: Ensuring accurate updates in Global View and other employee records, and monitoring adherence to reporting deadlines to authorities. Pay slip Distribution: Preparing and distributing pay slips for employees without email access. Legal Compliance: Ensuring compliance with legal requirements regarding personnel files and timely issuance of documents upon employment termination. Process Improvement & Documentation: Adhering to internal procedures, drafting and maintaining process documentation and work instructions for HR administrative tasks, and continuously reviewing and improving them annually or as needed.
