Payroll Clerk
Description Position Overview: We are seeking an organized and detail-oriented Payroll Clerk to join our team on-site in the dynamic hospitality industry. As a Payroll Clerk, you will be responsible for processing employee compensation, ensuring payroll compliance, and addressing related inquiries with the utmost confidentiality. This role is ideal for a professional with a strong understanding of payroll systems who thrives in a fast-paced environment and is committed to providing exceptional service to employees. Key Responsibilities: Payroll Processing and Administration: + Process and issue accurate and timely bi-weekly or monthly payroll for all on-site employees, including salaried, hourly, and tipped workers. + Maintain employee payroll records, including timecards, deductions, garnishments, and tax withholdings. + Verify and input employee hours worked, overtime, and leave (such as vacation, sick leave, and holidays). Compliance and Reporting: + Ensure payroll is processed in strict compliance with local, state, and federal labor laws, including wage-hour laws and tip regulations applicable to the hospitality industry. + Prepare reports on payroll metrics, including tax filings, labor utilization, and benefits tracking for management review. + Submit accurate contributions and deductions for employee benefits, such as 401(k), health insurance, and other perks. Employee Relations and Support: + Respond to employee inquiries regarding paychecks, withholdings, and other payroll-related issues in a timely and professional manner. + Educate employees on payroll policies, such as direct deposit enrollment or garnishment processing, ensuring confidentiality and clear communication. + Coordinate with human resources and accounting departments to address discrepancies and update employee records as needed. Timekeeping and Systems Support: + Manage and update time-tracking or clock-in/clock-out systems for on-site staff across various departments (e.g., housekeeping, kitchen, front desk). + Troubleshoot payroll or timekeeping systems issues, escalating technical challenges as appropriate. + Support new hires with onboarding procedures related to payroll, such as collecting W-4 forms and setting up direct deposit. Process Improvement: + Identify opportunities to streamline payroll and timekeeping processes to improve efficiency and reduce errors. + Stay updated on changes in payroll laws, regulations, and best practices relevant to the hospitality industry. Requirements Qualifications: + Education: High school diploma or equivalent required; additional coursework or certification in payroll processing, bookkeeping, or accounting is preferred. + Experience: + 1–3 years of experience in payroll, accounting, or related administrative roles. + Familiarity with payroll in the hospitality industry or understanding of tipped employee wages is a plus. + Technical Skills: + Proficiency in payroll systems (e.g., ADP, Paychex, or similar platforms) and timekeeping software. + Strong knowledge of Microsoft Excel and related office tools. + Familiarity with accounting practices and tax regulations affecting payroll (e.g., FICA, FUTA, state unemployment taxes). + Attributes: + Strong attention to detail and accuracy in processing high-volume payroll transactions. + Excellent time management and organizational skills to meet strict deadlines. + Superior communication and problem-solving skills to address employee concerns respectfully and effectively. + Commitment to maintaining confidentiality and handling sensitive information responsibly.
