Payroll Accountant

Position Overview 

The Payroll Accountant is responsible for overseeing all aspects of U.S. payroll processing and financial reporting, ensuring compliance with U.S. tax regulations and company policies. This role does not involve Mexican payroll. The Payroll Accountant will manage payroll journal entries, reconciliations, and reporting while supporting audits and ensuring payroll accuracy.

 

Essential Job Functions and Responsibilities

Oversee and process multi-state U.S. payroll accurately and on time using ADP Workforce Now. Maintain general ledger accounts related to payroll expenses, benefits, and tax liabilities. Prepare and consolidate monthly, quarterly, and annual financial statements in accordance with U.S. GAAP. Reconcile payroll accounts, investigate discrepancies, and ensure accurate financial reporting. Assist with month-end and year-end close processes. Manage employee payroll data, process adjustments, and ensure compliance with federal, state, and local tax laws. Respond to employee payroll inquiries professionally and in a timely manner. Support audits by preparing payroll-related documentation as needed. Serve as a backup for payroll processing, verifying payroll data, and ensuring accurate and timely payments.

Required Qualifications

Bachelor’s Degree in Accounting or a related field (required). 5+ years of experience with U.S. payroll accounting principles and practices. Advanced English proficiency (written and verbal) is required. Experience with ADP Workforce Now or other ADP payroll systems, particularly in multi-state U.S. payroll. Familiarity with accounting systems and ERP Systems (QAD preferred). Advanced knowledge of Microsoft Excel. Excellent analytical and organizational skills with strong attention to detail. Ability to manage sensitive information with confidentiality.
