This position is not eligible for work visa sponsorship. General Function Overview: We are seeking a dedicated and detail-oriented individual to join our team as a Part-Time Administrative Assistant. This role is crucial in supporting various administrative functions and ensuring the smooth operation of our office. The ideal candidate will assist with maintaining our Applicant Tracking System (ATS), managing off-campus job postings, monitoring work study operations, and supporting various programs and events.

General Responsibilities:
Maintain Student Employment Job Postings: Assist in updating and maintaining the Applicant Tracking System (ATS). Ensure all job postings, both on and off-campus, are current and accurately listed.

Event Support: Provide support for Student Orientation, Advising, and Registration (SOAR) events. Assist in organizing and executing job fairs and other promotional opportunities for the Student Employment office. Record Maintenance & Data Collection: Maintain accurate records with the Leaders in Community Service (LCS) program. Monitor and manage mailboxes, ensuring timely responses and organization. Assist in collecting data and maintaining accurate records for verification and reporting purposes. Prepare necessary reports and ensure data integrity. Work Study Monitoring: Help monitor Work Study students, ensuring compliance with program guidelines. Prepare and submit reports as required. Description of Primary Duties Specific Duties:
Job Postings Platform Management: Regularly update job postings and ensure they are visible to potential candidates. Work with employers to gather job descriptions and post them on the ATS.

Event Support: Coordinate logistics for SOAR events, job fairs, and other promotional activities. Assist in setting up, managing, and tearing down event spaces. Record and Data management: Ensure all LCS records are up-to-date and accurately reflect current information. Organize and manage e-mailboxes, responding to inquiries promptly. Collect and analyze data related to student employment and program participation. Maintain detailed records for reporting and verification purposes. Work Study Oversight: Monitor Work Study students and funding. Prepare reports on Work Study funds and ensure compliance with program requirements. Front Desk Support Provide front desk coverage, including answering phones, directing calls, and taking messages in a professional and courteous manner. Greet and assist students, faculty, staff and visitors and ensure a welcoming and helpful point of contact for the office.
Minimum Acceptable Qualifications Minimum high school diploma. 2-3 years of general office experience or an equivalent combination of education and general office experience is required. Preference for previous experience in a university setting. Strong organizational and time management skills. Excellent communication and interpersonal abilities. Proficiency in Microsoft Office Suite and familiarity with ATS software preferred. Ability to work independently and as part of a team. Attention to detail and accuracy in record-keeping


Additional Qualifications Special Instructions to Applicants This is a part time position between 10-20 hours. Hours will typically fall between 8:00 a.m. and 5:00 p.m., Monday through Friday, and will be determined at a later date.
