Job Responsibilities:
Reporting to the Harbours Supervisor, the Harbours Clerk is a part-time position providing administrative support in the delivery of a wide range of harbour services including:
Maintaining accurate records for both Oakville and Bronte Harbours;Data entry into Harbours Management System (HMS) computer software system, assistance in keeping all harbour files and office records accurate and up-to-date to ensure efficiency;Customer service duties including receiving harbour office inquiries from general public, including: telephone inquiries, in-person, mail and email;Assists customers to provide information regarding mooring locations and launch ramp information;Assists in the organization, distribution, faxing, mailing of incoming and outgoing sectional correspondence; Ordering, verification, and reconciliation of office stationary supplies;Assists in the preparation and distribution of “Harbour Highlights” newsletters and other mass mailings;Receives and forwards harbour requests and complaints to Supervisor of Harbours and provides assistance in following up to ensure complaints and requests are tracked and follow up with customers is complete;May record and distribute meeting minutes as required;Ability to work flexible hours/days based on the schedule posted in advance;Other duties as may be assigned.
Qualifications:
Secondary school diploma with a minimum of 1-2 years of administrative experience;Certification in emergency first aid and/or CPR and familiarity with WHMIS;Accurate keyboarding skills and the ability to pay close attention to detail are essential;Demonstrated knowledge of Microsoft Office and knowledge of POS is a requirement;Successful completion of a Pleasure Craft Operator card with basic knowledge of the marine emergencies, vessels, navigation, accident reporting, etc. is required and is a condition of employment if not already obtained;CALE system and CIS knowledge are considered an asset;Excellent interpersonal, organizational, communication and customer service skills to represent the department in a courteous manner in dealing with the public and staff, and in coordinating customer service responses;Ability to work effectively and efficiently in a multi-tasking fast paced environment is required;Proficient time management skills and flexibility in adjusting between a variety of duties. Ability to work with minimal supervision and as part of a team;Please note that successful candidates, who are new hires and/or who have not performed in this position previously will be required to provide a satisfactory police record check dated within the last 30 days as a condition of employment.
