**Responsibilities**
**Overview:**
We have an exciting opportunity for an entry level professional who is eager to develop a career in Human Resources as an administrative assistant to support our P&T Organization. This includes Total Rewards, People & Culture, Corporate, Organization, Transformation & Global Services. Responsibilities would include calendar management for the leadership team along with partnership and involvement in Rhode Island employee’s and community engagement activities, participating in global projects, special events, training sessions and deep involvement in purchase to pay processes for the P&T organization. The candidate will report to the Sr Director P&T Corporate Functions and will work closely with the rest of the leadership team.
**Essential Duties & Responsibilities:**
+ Schedule meetings; draft agendas; develop, compile, and distribute presentation materials; and record meeting minutes.
+ Complete a broad variety of administrative tasks that facilitate the P&T leadership team ability to effectively lead the organization, including assisting with special projects; designing and producing complex documents, reports, and presentations; collecting and preparing information for meetings with staff and outside parties; composing and preparing correspondence; maintaining contact lists; making travel arrangements; and completing expense and mileage reports.
+ Anticipate needs in advance of meetings, conferences, etc.
+ Complete projects by assigning work to appropriate staff, such as the coordination of townhall meetings.
+ Retrieve, download, process, track, and escalate invoices.
+ Work directly with vendors to establish PO’s. Ensure invoices are billed to correct entities. Add new vendors when needed. Work closely with accounts payable to process, pay and track invoices. Proof invoices to ensure correct cost center and GL is used. Coordinate monthly expense accrual input if needed. Code and forward invoices for approval (MediusFlow system)
+ Manage onboarding process for new vendors. This includes working with procurement and legal to create and/or update vendor agreement, statement of work, and completion of new vendor checklists.
+ Manage and schedule daily calendar and business activities across different time zones while using sound judgement to maximize time and meeting cadence.
+ Arrange domestic and international business travel, complete travel & expense reports, and manage logistics of travel-related activities.
+ Coordinate and drive effective cadence of functional staff operating meetings by preparing agendas, presentations, and logistics.
+ Provide administrative support for day-to-day operations and coordinate high value / cross-functional initiatives and projects.
+ Prepare written reports, communications, and other materials as required.
+ Assist with office management within area of responsibility – including ordering of office supplies, catering, etc.
+ Develop a sound understanding of current business issues and be able to provide timely support to the team leaders. In addition, this role will act as a liaison and a problem solver.
+ Work with the teams to establish strategic priorities and leverage internal stakeholders both formally and informally to learn organizational insights; acting where necessary to get ahead of issues.
+ Manage various vendor and licensing relationships, including education subscriptions, continuing education.
+ Participate as needed in projects to solve complex problems, department, or organization-related work.

+ Advanced experience with Microsoft Office (Outlook, Word, PowerPoint, Excel)
+ Positive can-do personality and ability to be forward thinking

+ Experience with SAP and MediusFlow is highly recommended

At Brightstar, we consider a wide range of factors in determining compensation, including background, skills, experience, and work location. These factors can cause your compensation to vary. The estimated starting compensation range is $43,680 - $68,037. The actual pay offered may end up being higher or lower. The Company will comply with all local pay requirements and collective bargaining agreements, where applicable.
Base pay is only one part of our Total Rewards program. Sales roles may be eligible for commission payments, while other roles are eligible for discretionary bonuses. In addition, we offer employees a 401(k) Savings Plan with Company contributions, health, dental, and vision insurance, life, accident, and disability insurance, tuition reimbursement, paid time off, wellness programs, and identity theft insurance. Note: programs are subject to eligibility requirements.
