Order Support Coordinator
_2176 Portland St, Saint Johnsbury, VT, USA_ | _Hourly_ | _24.50-27.13 per hour_ | _Full Time_ **Summary** Responsible for ensuring that the customer orders for parts and/or products are fulfilled and shipped as scheduled, at the best cost, consistent with management instructions and customer requirements. **Essential Job Duties** + Organize customer order packets to pick, pack and ship, assuring packets are complete and accurate. For Export orders, ensure that shipments have necessary approvals, export licenses and packing information. Prepare shipper export documents for parts and products being shipped to Canada and Puerto Rico within current export requirements. + Continually monitor and maintain open order backlog and provide factory with the guidance needed to meet scheduled shipment dates. + Ensure that products, parts and sundries are packed and shipped as scheduled utilizing the lowest cost of transportation consistent with management instruction and customer requirements. + Create supporting documents and reports such as routing and process sheets, work center loading or measurement reports and graphs utilizing available computer software system. + Gather or create other items required for assembly, pick, pack or ship of parts or products such as labels, serial tags, shipping instructions, routings and bills of lading. + Respond to, authorize within established written guidelines, ensure delivery schedule and track internal and external customer requests for exchange parts or products, warranty exchange parts or products and products being returned for credit. If the customer request is outside written authorization guidelines contact the QC Manager or Warranty Manager for decision and resolution. + Create supporting documents and coordinate shipments as required for process of orders for special circumstances below: + Contract Customers who maintain inventory at our facility. Interface with them to include receipt verifications of customer owned property at our facility; completion of online shipment screens as agent for contract customer; notification of shipments of customer owned inventory. Verification of accuracy of work done by others to include picking, packing and labeling of items shipped for Contract Customer. + Internet interface to customer specific web sites belonging to contracted companies, to include providing shipping documentation such as bills of lading, shipment release requests, carrier coordination, routing requests and tracking information for customers + Note and document order shipment errors that may occur and distribute to appropriate departments to ensure errors are not repeated. + Report results and measurements as may be required by department supervisor. + When necessary, provide back-up to other office unit positions within the distribution area. **Required Qualifications** + High School Diploma or GED + Minimum of 5 years of related experience. + Must adhere to a robust safety culture. **Knowledge, Skills, and Abilities** + Proficient in Microsoft Office products - specifically Excel, Word, Outlook, files sharing services. + Experience navigating ERP systems. + Critical thinker with exceptional attention to detail. + Excellent, customer service skills. + Strong problem-solving skills. + Excellent communication skills, both verbally and in writing to many levels of internal and external contacts. + Ability to effectively organize and prioritize work as well as concentrate on multiple tasks simultaneously. **Work Environment** + General office/factory conditions. + General factory conditions including noise & dust. + Must be able to don PPE including hearing protection, safety shoes, or glasses where required in the on-site manufacturing areas. **Physical Abilities** + Required to use close vision and be able to focus. + Regularly lift or carry up to 25 lbs. + Regularly required to talk, hear; sit, stand, bend at the knee and waist, and walk. + Must be able to have repetitive wrist, hand and/or finger movement to type and work on computer. + Must have finger dexterity and hand-eye coordination to work on computer, telephone, and related office equipment. + Regular attendance is a necessary and essential function.
