Summary – basic function of the role The Order Entry Lead’s primary function is to process distributor, customer, and inter-company product orders within Oracle to generate sales orders and invoices while managing the work schedule and on-site performance of other order management specialists. This role serves as a key liaison between Sales, Operations, Customer Service, and Logistics to ensure timely and accurate fulfillment of orders while maintaining a high level of customer satisfaction. The ideal candidate is detail-oriented, organized, and thrives in a fast-paced, deadline-driven environment. Work Location: Monday – Thursday, On-site; Friday, On-site or remote Shift: 1st shift 8a-5p, 2nd shift 11a-7p Annual Compensation Range: BRL R$58,000 BRL R$72,000 Job Duties and Responsibilities Manage and oversee in-person work schedules, email inbox management, and Salesforce case assignments for the India-based order entry team. Accurately and efficiently enter customer order information into our ERP system. This may include manually typing item numbers or copying and pasting item numbers from PDF purchase orders. Attention to detail is essential. Orders may arrive by email or through SalesForce case support management. Troubleshoot purchase order errors such as incorrect product item numbers, incorrect pricing, and/or obsolete or inactive items. Provide corrections to the purchase order own for approval and reentry. Promptly and effectively address customer inquiries on pricing and availability, scheduled delivery dates, shipment tracking, order acknowledgements, and invoices. Escalate all inquiries on expedited shipments, delayed shipments, or product selection to the sales operation specialist team. Follow established work instructions, contribute to potential process improvements, and develop collaborative relationships with internal partners (sales operations specialists, field sales teams, IT, and operations). Identify and report incorrect or suspicious lead times, pricing, or product information to manager. Have a customer-first approach that prioritizes professional and polite email communications, a commitment to rapid response times, and over-communication of troubleshooting steps. Perform all other responsibilities as may be assigned by management. Skills and Competencies Experience with Oracle or a similar order-management ERP system. Previous experience booking distributor orders for a product manufacturer is preferred. Must be able to learn quickly and operate independently, but with a team environment. Ability to multi-task and adapt to schedule changes. Strong organizational skills and attention to detail. Exceptional communication and interpersonal skills (written/oral). Proficient in speaking, writing, and reading English required. Computer skills include knowledge of Oracle, Microsoft Windows software suite (Outlook, Teams, SharePoint, Excel, Word, etc.), and Salesforce. Strong presentation and problem-solving skills preferred Education and Experience High school diploma or GED equivalent required; Prior order entry experience in an industrial or manufacturing environment is preferred; or equivalent combination of education and experience. Physical Demands Employee may have to lift documents/work materials up to 30 pounds in weight. Employee will have to be able to walk/climb to a variety of primary work locations, including traveling by air/auto to remote sites. This can include occasional ascending or descending ladders, stairs, scaffolding, ramps, poles, and the like. Employee will need to listen, understand, and speak with team members in person, telephonically, and electronically at all levels within a diverse workforce and with supported organizations. Employee can work in front of a personal computer and telephone for long periods of time. Will have repetitive motions that include the wrists, hands, and/or fingers. Work Environment Primary work environment is temperature-controlled office setting or a typical warehouse environment where following appropriate safety protocols at the location would be required. While in the warehouse, employee may be exposed to high/low temperatures, outdoor elements (such as precipitation and wind), high levels of noise, hazardous conditions, poor ventilation, small and/or enclosed spaces, or adverse environmental conditions.
