Operations Supervisor

Volume 1: Account Management 

Area of responsibility SOW 

Responsibilities  

Governance & General Management 

Ensure compliance with governing laws, codes and regulations, MS standardized processes, policies and procedures by all parties executing services on behalf of MS.  

Ensure compliance with SOPs for all contracted services, identify and include all variations applicable per site. 

Support and execute the annual Country/Site Operations Plan in alignment with the Regional Strategic Plan. This shall include the local priorities, projects, execution timeframe and deliverables.  

Provide visibility of opportunities in processes and programs for improvements. 

Participate and be engaged with IFM meeting cadence (operational, strategic, and best practice forums).  

 

Reporting 

Provide operational reporting on a monthly, quarterly, and annual basis. 

Ensure information reported is accurate with MS systems information. Advise of any data issues to address data accuracy.  

Sourcing & Procurement 

Work in collaboration and in alignment with FM and the IFM Sourcing Regional team to: 

Source, select, contract, and manage Tier Two Providers. 

Onboard and train Tier Two Providers as may be required.  

Supplier Performance 

Work with FM local team to validate all provider invoices related to hard services submitted for payment are appropriate and consistent with MS expenditure authorization limits and compliance guidelines. 

Measure and track vendor performance against pre-defined set of success criteria and contract obligations utilizing metrics and KPIs where applicable. 

Manage T2 vendor relationship to ensure adequate service delivery.  

Financial Management 

Ensure contractually correct and timely payment of Tier One and Tier Two Provider invoices/invoice processing (per agreed term) submitted to MS Accounts Payable.  

Ensure invoices are correctly prepared by vendors. 

Innovation, Benchmarking, & Cost Savings 

Continuously identify ways in which service can be improved and value for money can be enhanced. Communicate innovations and cost savings ideas to RE&F. 

Develop, seek approvals, and implement plans for continuous process improvement, cost reduction and efficiency. 

Benchmark practices within JLL accounts and propose improvements if applicable.  

Change Management 

Provide insights and support change management planning for workplace change projects regarding occupant experiences and requirements based on day to day facilities management. 

Client Relationship Management 

Ensure and facilitate excellence communications with clients according to key stakeholders’ strategy, maintain and share all relevant information and/or lessons through a knowledge management-based platform. 

Marketing & Communications 

Support the execution of Key Activities Calendar and assure all assigned communications are executed in timely manner.  

Environmental Sustainability 

Establish site-specific goals aligned with regional Environmental and Sustainability Program (Energy, Water, Waste & Recycling), define and execute action plan to achieve those goals.   

Identify and implement opportunities to reduce carbon footprint on his/her sites.  

Work in coordination with local teams and CX&C team to plan and execute activities related to environmental sustainability. 

 

 

Volume 2: MS Customer & Employee Experience 

 

Area of responsibility SOW 

Responsibilities  

Multifunctional Devices (MFD’s) 

Oversee output printing devices and MFD device services. Manage Tier Two Providers, coordinate equipment repairs, and maintain inventory.  

Recommend best practices for optimized operations. Comply with standards established for preventive and reactive maintenance response times. 

 

Volume 3: Facilities Management 

Area of responsibility SOW 

Responsibilities  

Asset Management & Capital Planning  

Document existing building deficiencies, conditions and replacement costs according to Regional Life Cycle Renewal Program. Covering entire Microsoft office area envelope and infrastructure, including mechanical, electric equipment, and architectural finishes (interior & exterior).  

Maintain a list of equipment type, equipment age, maintenance records, and deficient equipment.  Such records shall feed into a robust capital planning program – utilize software such as 360Facility or other agreed upon platform.  

Update plan annually summarizing long and short-term replacement and renewal requirements.  

Systems Operation & Maintenance 

Implement, and manage a preventative maintenance plan on all facility related assets and systems included in the Life cycle Renewal Program which, at minimum, meets original manufacturer guidelines. 

Ensure that business operations suffer no controllable interruptions.  

Keep maintenance records and all equipment operations and maintenance manuals. 

Maintain a current inventory of building systems, equipment and components and update with changes as they occur.  

Recommend opportunities for improvements to system reliability, preparing for future Life Cycle renewal programs and reducing or containing energy costs without impacting occupant business operations.  

Business Critical 

Effectively maintain site level, business critical infrastructure in accordance with governing regulatory, Original Equipment Manufacturer (OEM), and industry accepted standards. 

Document procedures for deviating from established baseline operating parameters. 

Prepare Incident reports for any downtime affecting availability of systems. Include actions necessary to restore system and mitigate any additional occurrences. 

Ensure that backup operations function as designed and intended during outages or other emergency situations.  Test regularly under load conditions. 

Maintain up-to-date hard and/or soft copy single-line drawings where required. 

Ensure that business operations suffer no controllable interruptions by utilizing a MOP process that is approved by all pertinent parties and thoroughly communicated. 

Interior Building Maintenance 

Manage execution of interior general building maintenance at assigned sites within MS occupied space. Ensure service delivery of those services at the optimum cost/performance point, optimize life cycle costs for site fixtures and finishes and meet all regulatory and code requirements applicable to specific site fixtures, finishes and systems.  

Cafeteria Equipment 

Maintain and repair all food service and preparation equipment required to make the cafeteria functional.   

Work Order Management 

Guarantee services requested by occupants and visitors related to AC, Lighting and electrical are provided, complying with the response times defined on the Response Priority Matrix. 

Support Workplace Manager/Coordinators to evaluate service response time and analyze occupants’ service request trends and suggestions. All metrics related to FSC need to be complied. 

Execute routine walkthroughs and assessments, proactive work order entry, execution timeliness and follow up.  

Pest Control 

Implement an integrated pest management plan per site. 

Furniture Management 

Coordinate execution furniture management and maintenance services. 

Building Sweep 

Conduct and/or coordinate periodic inspections to ensure the space experience is consistent, and common areas are tidy and safe. 

 

Volume 5: Project Management 

Area of responsibility SOW 

Responsibilities  

MAC Small Project 

Project Management Infrastructure Renewal 

Support Workplace Manager/Coordinators to execute project management services for all small moves, adds, & changes (MACs) and minor space reconfiguration projects. Escalate in a timely manner when risks are identified. 

Provide visibility and work as One Team with MS stakeholders to ensure a seamless experience before, during and after the project execution.  

Integrator TM / PM Support 

Support Full Scope Projects and Transaction Management according to SOP to ensure success 

 

Volume 6: Security, Fire Life & Safety and EH&S 

Area of responsibility SOW 

Responsibilities  

Security Operations  

Ensure all facilities infrastructure is maintained to support MS security requirements. 

Support Workplace Manager/Coordinators to coordinate & maintain the RE&F component of the Emergency Response Plan (ERP). 

Fire Life Safety  

Responsible for all Fire & Life Safety systems and equipment of the office interior function in compliance with local regulations. 

Perform and coordinate Building safety inspection is performed and completed (Hazard assessment and Safety inspection). 

Report for awareness and ensure corrective actions are executed. 

Coordinate relationship with Landlords and external agencies regarding life & safety as required. 

Environmental Health and Safety Management 

Ensure a safe workplace is provided, protect the environment, and assure appropriate actions are taken to comply with regulations and MS Corporate requirements.  

Provide the proper level of qualified staff and vendors in EH&S. 

Attain zero preventable incidents.  

Emergency Response / Disaster Recovery 

Support Workplace Manager/Coordinators to coordinate and maintain the RE&F component of the Emergency Response Plan (ERP). 

 

 

Requirements 

 

Academic Background: 

Bachelor’s degree in Mechanical, Electrical or Civil Engineering. 

Desirable: Any Certification related. 

Experience: 

3-5 years’ experience in facilities, maintenance or related field; managing hard services in corporate offices. Desirable: experience working in technology industry, project management. 

Experience technical aspects of property (Air-conditioning, Chiller system, Fire Protection system, Mechanical & Electrical system, BMS system). 

Technical Skills: 

Knowledge of vendor management for specialized services. 

Knowledge in budget management. 

Knowledge in Environment and Sustainability. 

Knowledge of local occupational health and safety requirements. 

Languages: 

Fluent in Spanish (If Brazil, Portuguese) and intermediate English Fluent for English speaking countries. If Brazil: Desirable Spanish.
