Operations Specialist
Description We are looking for an experienced Operations Specialist to oversee day-to-day operational processes and ensure the smooth functioning of IT systems and communications. This contract position is based in Oakland, California, and offers an opportunity to manage teams, optimize workflows, and support HR services. The ideal candidate will bring a strong background in operations management, technology systems, and compliance. Responsibilities: • Supervise staff members, including the Operations Coordinator and Receptionist, to ensure efficient workflow and performance. • Serve as the primary IT resource, overseeing all technology systems, network service providers, and communications infrastructure. • Manage operational processes and ensure the maintenance of all facilities and systems. • Act as the liaison for employees by coordinating HR services and collaborating with external organizations. • Lead and manage a team of contract Operations Assistants to provide facilities and operational support. • Oversee compliance efforts and auditing processes to ensure adherence to organizational standards. • Maintain and optimize enterprise resource planning (ERP) systems for streamlined operations. • Implement data processing workflows and ensure accuracy in check processing. • Utilize CRM tools effectively to enhance communication and client relationship management. • Monitor and refine financial services processes, including ADP systems. Requirements • Proven experience in operations management, including supervising teams and coordinating HR services. • Strong proficiency in IT systems, including ERP, CRM, and Epic Software. • Familiarity with ADP Financial Services and check processing workflows. • Demonstrated ability to manage compliance and auditing processes effectively. • Excellent communication skills and the ability to liaise with internal teams and external organizations. • Solid understanding of data processing techniques and enterprise resource planning systems. • Knowledge of About Time software and other relevant technology tools. • Ability to lead and support contract-based teams to meet operational and facility needs.
