Operations Secretary
Description We are looking for a detail-oriented Operations Secretary to join our Maintenance and Operations Department on a contract basis in Santa Barbara, California. This role involves providing administrative and clerical support to ensure the smooth day-to-day operations of the department. The position requires a proactive, organized individual who can handle a variety of tasks with efficiency and confidentiality. Responsibilities: • Welcome and assist visitors, including parents, students, staff, and administrators, while maintaining a friendly and approachable demeanor. • Perform data entry and administrative tasks. • Organize and manage records, including preparing and distributing materials. • Compile and analyze data to create reports and spreadsheets as needed. • Review documents, reports, and other data for accuracy and compliance with established standards. • Draft correspondence, schedules, and lists based on provided instructions or rough drafts. • Order and manage office supplies, forms, and equipment to ensure the department's needs are met. • Maintain detailed logs, files, and records for administrative purposes. • Operate modern office equipment effectively to support daily operations. • Ensure punctual and consistent attendance to meet departmental needs Requirements • Proven experience in administrative or secretarial roles, preferably in an educational or operational setting. • Strong customer service skills with the ability to interact professionally with diverse groups. • Proficiency in data entry and familiarity with systems such as Microsoft Excel, Word, and Outlook. • Excellent organizational skills, including the ability to file and manage records efficiently. • Ability to handle confidential information with discretion and professionalism. • Strong written communication skills for drafting and editing correspondence. • Experience in scheduling appointments and managing calendars. • Familiarity with scanning documents and performing shipping or mailing functions.
