Operations Manager – Office Services (Outsourcing \/ Multi-Client Sites)\n
We are looking for a seasoned Operations Manager to lead and oversee outsourced office services across multiple client sites. This role demands an experienced leader with a strong background in managing service lines such as mail, shipping\/receiving, copy\/print, receptionist\/switchboard, and related office support functions.The ideal candidate will have a solid track record in outsourcing environments, delivering measurable value to clients through operational excellence, compliance, and superior customer service.\n\nKey Responsibilities:\nClient Relationship & Contract Management\n\nServe as the primary point of contact for multiple client sites, ensuring satisfaction and retention.\nManage the execution and adherence to client contracts, including Scope of Work and Service Level Agreements (SLAs).\nConduct quarterly and annual client business reviews.\nMonitor and report on client satisfaction through surveys and feedback mechanisms.\n\nService Delivery & Operational Excellence\n\nImplement and enforce TMG Best Practices across all service lines.\nOversee day-to-day site operations to ensure high quality, efficiency, and consistency.\nDevelop and maintain site-specific operations manuals, process documentation, and workflow diagrams.\nEnsure continuous process improvement and implement corrective actions as needed.\n\nHuman Resources & Staff Development\n\nHire, onboard, and train new employees according to TMG standards.\nConduct regular performance reviews, provide coaching, and address employee relations issues.\nManage payroll, attendance, disciplinary actions, and ensure HR compliance.\n\nBudgeting & Financial Oversight\n\nMonitor site budgets (primarily salary costs) to ensure profitability and cost control.\nReview and submit billing and payroll data in a timely and accurate manner.\nTrack financial performance and support TMG's financial goals through efficient resource allocation.\n\nReporting & Compliance\n\nEnsure timely completion of all required reports, including:\n\nMonthly operational reports (due by the 10th)\nSite audits\nSemi-annual and annual account reviews\nCustomer satisfaction surveys\n\n\nMaintain site compliance with safety standards, company policies, and client expectations.\n\nLeadership & Communication\n\nSet the tone for team performance and client service through ethical, consistent leadership.\nFacilitate regular team meetings and training sessions.\nEstablish clear communication channels with both internal teams and client representatives.\n\nMinimum Qualifications:\n\n5–7 years of leadership experience in a multi-site, outsourced office services environment.\nBachelor's degree in Business Administration or 7–10 years of industry experience.\nProven ability to manage and motivate cross-functional teams across different locations.\nExceptional client relationship, organizational, and problem-solving skills.\nExperience with contract compliance and vendor management.\nProficient in Microsoft Office Suite (Word, Excel, PowerPoint).\nWillingness to travel to client sites as needed.\n\n
