Objective

The general role of Operations Coordinator is to manage the complete lifecycle for various types of property management transactions. This position will be collaborating with various departments and teams in executing acquisitions, dispositions, and lease up projects. In connection with providing support, the Operations Coordinator will at times interface with external parties, including owners, sellers, existing operators, brokers and third-party vendors to ensure all critical dates are adhered to and the transaction runs smoothly. This role will also specialize in onboarding new properties as it relates to support, compliance and training.

Primary Responsibilities

Transactions Coordination: Oversee all aspects of transactions from initial contact to post closing wrap up and operations onboarding. Tasks involved include but not limited to the following:

Tracking and managing acquisition, disposition, and lease up transactions from beginning to endEngaging third party vendors to provide due diligence services, managing third party vendors, and ensuring timely delivery and accuracy of due diligence reportsReviewing due diligence materials to identify potential issues and addressing such issuesInteracting with and gathering information requested by third parties in connection with due diligence & takeoversUploading materials and reports to shared sites. Organizing and maintaining transaction files.Coordinating site visits and teams during due diligence, acquisition and lease up transactionsPreparing deliverables package for buyers/client and ensuring the accuracy and completeness of informationCreating agendas and preparing materials for Transactions meetingsProviding transition assistance and support

Other Responsibilities

Organizational Structure: Coordinate property set up checklists and implement with the transaction and operations team members. Schedule regular follow up meetings post-takeover to ensure efficient and effective onboarding of new properties and employees.Project Coordination: Coordinate, manage, report and monitor the workings of assigned projects. Responsible from project implementation through stabilization to include property management site support.Production: Monitor operating performance through portfolio audits and inspections. Collect and analyze data to make suggested improvements to general operations.Systems Coordination: Coordinate with the operations team members the support and implementation of new system roll-outs to on-site teams. Maintain a working knowledge of Onesite, Yardi, Online Leasing, Compliance Vendor Management, BlueMoon, and any additional ZRS ProgramsThis position will require extended out-of-town travel for takeover procedures, internal meetings, educational conferences, etc.The position and responsibilities described above will be evaluated biannually and may be subject to change based on the needs of the company. This may include transitioning to a property onsite position if deemed appropriate.
