Operations Coordinator - Fixed-Term Contract

Are you an experienced operations professional seeking a dynamic role at the heart of Southampton's retail landscape? Westquay, a premier shopping, dining, and leisure Destination on the South Coast, is looking for a dedicated Assistant Operations Manager to join its vibrant team. 

With over 100 shops, restaurants, and leisure facilities, Westquay is a pivotal hub attracting millions of visitors annually, significantly contributing to the city's economy and identity. This is a unique opportunity to play a crucial role in ensuring the seamless and efficient operation of a bustling retail environment, contributing to an exceptional experience for both tenants and over 17.6 million annual visitors.

This is a 12 month Fixed-Term Contract role.

The Operations Coordinator will assist Operations Manager in the delivery of facilities services to occupiers in one our managed properties to best practice standards defined by JLL and is expected to understand the business objectives of the investment.

Team Structure

The Operation Coordinator will seek direction from the Operations Manager, taking guidance as appropriate and will work closely with a number of teams, including the Destination Director, Service Partners, Supply Chain Management, Sustainability and Surveying. 

Key Responsibilities and Deliverables

Facilities Management - Supporting the Operations Manager to:

Ensure we are delivering client KPIs as identified within the agreed MSA (Master Service Agreement).

Assist the Operations Manager in inspiring the teams to fully embrace and deliver Operational Excellence at Westquay

Set and maintain the highest standard of performance for the administration, operations, and management of the landlords areas at Westquay.

Proactively contribute towards the Destinations Health, Safety, Security and Environmental performance.

Ensure that on-site management of the Westquay is undertaken in accordance with JLL's policies, processes, and procedures.

Ensure that all Facilities Management systems are kept compliant, up to date and managed effectively (eLogbook's, Riskwise).

Ensure all insurers requirements are met and oversee all accident, incident reporting, including insurance and statutory forms and procedures.

Support the Operations Manager in the management of the Service Partners through their managers.

Support the Operations Manager to ensure the delivery of Maintenance, Security and House Keeping provision along with their subcontracted services, ensuring they are managed to the performance standards required.

Support the Operations Manager in maintaining and exercising the Emergency Preparedness documents with Team Westquay.

Organise and co-ordinate fire evacuation and emergency response drills.

Engaging with all other departments and embrace being a part of Team Westquay.

Build and develop Occupier relationships in accordance with the Operations Manager and have regular occupier contact on day-to-day matters. Ensuring relevant information and advice is fed back and logs kept monitoring communications. 

Assist with the delivery of operational initiatives across your Destination in close liaison with our service partners and other departments.

Assist in issuing work permits and manage this process at Westquay.

Assist in the management of buildings plant and equipment. Will be responsible for building management systems where appropriate.

Assist in developing and maintaining occupier handbooks.

Assist in the implementation of minor works

Required Qualifications, Skills and Experience

Commercial acumen

Stakeholder management skills and an ability to understand business ideas

Previous experience working for a company within the property industry or from a similar business line, with client facing experience or from a FM background

Supportive in driving operational business change and improvements

Ability to work on own initiative, to listen and willingness to learn.

Ability to demonstrate utmost discretion when dealing with all sensitive and confidential information.

Results and achievement orientated to high standards

Prior experience working in Facilities Management at a supervisory level or above, ideally in a shopping centre environment.

Strong organisation skills and excellent communication skills, both verbal and written

Good administrative and IT skills (Word, Excel and PowerPoint)

Resourceful and driven to achieve results

Knowledge of safety, quality, and cost risks

Preferably IOSH, or working toward IOSH Certification
