Operations Coordinator/Administrative Assistant

Position Summary:

As an Operations Coordinator you will provide administrative and clerical support to relieve department managers or staff of administrative details. May coordinate messages, appointments, and information to callers, file maintenance, department office supplies and mail. Research and compile word processing assignments.

Essential Functions:

Handles incoming calls and email requests coming into the scheduling lines, transcribing the detailed information required for scheduling servicesCoordinates all reception activities including welcoming on-site visitors, determining nature of business, and announcing visitors to appropriate personnel Acts as gatekeeper to ensure that only authorized persons are allowed to enter NuVasive officesProvides project or program support, including but not limited to: budget planning, budget tracking, PO creation and vendor managementResearch updates and company changes for dissemination to the team they supportCreates documents, spreadsheets and presentations in a timely and accurate fashionHandles all event logistics, including booking rooms, choosing vendors, inviting guests and booking travel arrangements as necessaryMaintains lobby and mail room organization while also managing office equipment, printing materials, desktops, and any other Office assets allocated to teamAdheres to the letter and spirit of the company Code of Conduct, the AdvaMed Code, MedTech Code, and all other company policiesEnsures Compliance with applicable governmental laws, rules, and regulations, both in the United States and internationally, by completing introductory and annual training and maintaining knowledge of compliance as it applies to your roleRepresents the company in a professional manner and upholds the highest standards of ethical business practices and socially responsible conduct in all interactions with other employees, customers, suppliers, and other third partiesPerforms other duties as assigned

Qualifications:

Time management and organizational skillsStrong communication skills (verbal and written) with ability to work confidentiallyProfessionalism, organization and problem-solving skillsStrong proficiency with Microsoft Office Suites, document management software and ability to navigating the InternetStrong interpersonal and relational skillsTypically requires a minimum of 1 - 2 years of related experienceHigh school diploma or equivalent required
