The client manages multiple diverse businesses, including a French bulldog breeding kennel, transitional housing for addiction recovery, an upcoming rehab facility, an insurance agency specializing in Medicare Advantage and annuities, and a seasonal tax and accounting practice. Their focus is on streamlining operations, ensuring compliance, and integrating workflows to support sustainable growth across industries.

Why does this role exist?
This role exists to provide critical operational support across five distinct business sectors, alleviating the client’s overwhelming administrative and bookkeeping workload. The assistant will ensure timely accounts payable and payroll, maintain accurate bookkeeping in QuickBooks Online, support compliance tracking, and manage marketing and client intake funnels. This multifaceted role is essential to stabilizing daily operations and enabling the client to scale effectively.

The Impact you’ll makeFinancial Operations & Bookkeeping\nManage accounts payable ensuring all bills (utilities, mortgages, etc.) are paid on time.\nSupport payroll processing across multiple businesses.\nMaintain and categorize financial records within QuickBooks Online for 12-13 ongoing clients.\n
Administrative & Compliance Support\nOversee compliance tracking for transitional housing and rehab facilities, including Medicaid rules and clinician scheduling.\nManage email and calendar scheduling, including appointments and deadlines.\nAssist intake processes and client funnel management from website applications into CRM/project tools.\n
Marketing & Communication\nSupport social media posting and content management across the client’s various business verticals.\nManage puppy sales funnel activities including image handling, social posting, and logistics for flights and caretakers.\n
Systems & Workflow Integration\nCollaborate using Monday.com for project management and Slack for team communication.\nUtilize AI tools such as ChatGPT for efficiency and automation where applicable.\n
