Operations Associate, Major Gifts
Title of Position: Operations Associate, Major Gifts Department: Development Reports to: AVP, Major Gifts Salary: $75,000- $85,000 FLSA: Exempt About Win - Women in Need Win is a leading provider of shelter, supportive housing, and innovative programs for families with children experiencing homelessness in New York City. Our equity-driven Way to Win model takes a multifaceted approach to overcoming barriers to stable housing by offering essential services, including childcare, employment support, legal aid, high-impact youth programs, and housing assistance. We are seeking a dedicated individual who shares our mission to end the cycle of homelessness and provide families with the innovative support they need to secure permanent housing. Purpose of the Opportunity The Major Gifts Operation Associate is responsible for supporting the operations, strategy, and growth of Win’s Major Gifts Program. The Operations Associate will be responsible for managing data in Salesforce, Win’s CRM database, as well as providing research and communications support to identify, cultivate, and qualify donors to raise significant revenue for Win. Additionally, the Major Gifts Operations Associate will assist with the management of prospective donors, current donors and lapsed donors with the express goal of increasing donor engagement and retention. Reporting to the AVP, Major Gifts, the Operations Associate will be comfortable leveraging data and data analytics to support aspects of the individual donor programs (events, communications, databases, solicitation) to help raise funds in support of Win programs. Responsibilities: Donor Relations and Cultivation + Independently manage and update Major Gift’s donor information in CRM (Salesforce). + Under the supervision of the AVP, assist with the management of various portfolios, including lapsed donors, with the goal of donor retention and re-engaging lapsed donors. + Assist with donor experiences involving the Development and Program teams, including strategy development and preparation of donor research, briefing documents, formal proposals, and logistical and administrative support. + Execute the acknowledgement and recognition processes for mid-level and Major donors, ensuring immediate, tailored, and accurate correspondence to donors, and on-going appreciation as appropriate. Research and Metrics + Regularly provide reporting on gifts, communications, and other datapoints relevant to the Major Gifts program. + Diligently research Major Gifts Program best practices. Conduct research on major donors and prospective donors using research platforms (iWave) as assigned. + Collaborate closely with the Director of Development Operations to develop systems and methodology to identify/qualify new Win donors. + Pull relevant reports from donor database. + Analyze donor data and fundraising metrics to assess performance, identify trends and share key learnings to inform strategic decision-making. Data-Driven Approach + Ensure the maintenance of accurate and up-to-date donor records in Salesforce, Win’s CRM database, with a focus on data hygiene. Work with the Development staff to ensure fulfillment and implementation. + Track and report activities and progress towards goals throughout the fiscal year. Events and Collaboration + Participate in planning, prospecting, and staffing donor events and engagement activities. + Work cross-functionally with other Win departments (Volunteer Services, Program, etc.) to support the success of the Major Gifts Team. + Other duties as assigned, including ongoing support of appeals, campaigns, donor research, donor communications, and marketing. Essential Functions: + Represent Win’s mission and programs to external parties by building and maintaining strong organizational knowledge. + Comfortable working with Salesforce. + Provide general administrative support to Major Gifts Teams as needed. + Perform other related duties as assigned. + Must be able to sit at a computer for a majority of the workday. + Must use public transportation to travel to Win sites and other related meetings and events. Qualifications: + Commitment to Win’s mission, vision, and values. + BA and 2-4 years of experience in successfully coordinating an individual donor program. + Proven organizational skills, including the ability to manage multiple tasks and projects simultaneously and produce high quality results on time. + Ability to take initiative and be creative in developing and maintaining data. + Excellent communication skills, both verbal and written, required. + Proficiency in Microsoft Office including spreadsheets and presentation applications. + Knowledge of fundraising software (Salesforce) is a plus.
