Operations, Receiving and Invoicing Manager

The primary purpose of the work performed as Operations, Receiving and Invoicing Manager is to co-manage all store Operations including staffing, student worker oversight,  inventory selling floor and back stock management and to direct store presentation. The Manager ensures the accurate and timely processing of incoming shipments and invoices to maintain the smooth flow of goods and payments for the BruinShop. 

Primary position responsibilities:

Receiving Management: Manage all incoming shipments and delivery paperwork. Verify the accuracy of the contents against Purchase Orders. Inspect and document the condition of received goods, noting damages or discrepancies. Coordinate with suppliers and internal teams to resolve any receiving-related issues. Organize and maintain the receiving area to ensure efficient workflow and inventory control. Collaborate with the student worker taskforce, Operations Manager, and the Buying team to update stock records and ensure accurate inventory levels. Communicate with vendors to resolve discrepancies and ensure healthy relationships between the BruinShop and vendors. Invoicing Management: Generate and process accurate invoices for products. Maintain detailed records of all invoicing history and activities, including payment tracking and follow-up emails with vendors. Collaborate with internal teams (Operations/Buying/Web Commerce) to ensure timely and accurate billing. Resolve invoicing discrepancies or issues in a prompt and professional manner.Inventory Management: Monitor and maintain accurate inventory levels. Conduct regular physical inventory counts and reconcile any discrepancies. Coordinate with Student Works and internal teams to ensure low stock quantities and replenishment of stock. Analyze inventory data to identify trends, optimize stock levels, and minimize excess inventory. Implement and maintain efficient inventory control procedures to maximize accuracy and efficiency. Physical Store/Operations: Assist in overseeing daily store operations, including opening and closing procedures and having flexible working hours. Train and supervise student workers, ensuring adherence to store policies and procedures. Implement and maintain visual merchandising standards to enhance the store’s appearance. Compile information for restock and physically assist in the restocking process. Manage supplies quantities and take charge in ordering new or reoccurring supplies as needed. Monitor and analyze areas of improvement and implement strategies. Collaborate with Store Operations Manager to develop operational initiatives.Human Resources Assistant: Assist in recruiting and onboarding new student employees, including conducting interviews, and coordinating orientation programs. Support over 20 student worker employee relations by addressing employee inquiries, concerns, and conflicts. Assist in conducting training and developing programs to enhance employee skills and performance. Supervise and approve student worker payroll. Customer Service: Assist and overseeing all aspects of high customer service standards. Respond promptly and professionally to customer inquiries and concerns via phone, email, or in person pertaining to the BruinShop, Bruinbooks, BruinDen, or Belmont University. Provide accurate and helpful information about products, services, and company policies. Direct questions to the appropriate department.
