Job Summary: The Onboarding Specialist at JLL is responsible for facilitating the onboarding process and providing support to new hires joining the Google Bay Area account. This role requires strong organizational and communication skills, attention to detail, and the ability to create a positive and seamless onboarding experience. The Onboarding Specialist will play a critical role in ensuring a smooth transition for new employees and helping them become productive and engaged members of the team.
Responsibilities:
Coordinate all aspects of the new hire onboarding process for the Google Bay Area account, ensuring a well-structured and streamlined experience, including direct and vendor employees.
This role serves as the primary contact for vendors for JLL who need to onboard employees to the account.
Gather necessary documentation and ensure completion of pre-employment requirements, such as background checks and drug screenings.
Prepare and distribute new hire onboarding materials, including welcome packages, employee handbooks, and training materials.
Schedule and facilitate new hire orientation sessions, communicating expectations, policies, and procedures.
Create and maintain employee profiles in HRIS and other relevant systems, ensuring accurate and up-to-date information.
Coordinate the provisioning of equipment, technology, and access to necessary systems for new hires.
Conduct orientation sessions, introducing new hires to key stakeholders, team members, and company culture.
Assist new hires with completing paperwork, including employment forms, benefits enrollment, and payroll documentation.
Provide guidance and support for new hires, answering questions and addressing concerns throughout the onboarding process.
Collaborate with hiring managers and HR partners to ensure a smooth transition from the recruitment process to onboarding.
Collaborate with cross-functional teams to coordinate training and development activities for new hires.
Conduct onboarding surveys and collect feedback to identify areas for improvement and enhance the onboarding experience.
Stay updated on company policies, procedures, and relevant industry regulations to ensure compliance during the onboarding process.
Foster positive relationships with new hires, ensuring they feel welcomed, supported, and integrated into the team.
Maintain confidentiality of sensitive information and adhere to data protection policies.
Qualifications:
Bachelor's degree in Human Resources, Business Administration, or a related field, or equivalent work experience.
Previous experience in onboarding, HR coordination, or related roles.
Strong organizational and time management skills, with the ability to prioritize and meet deadlines in a fast-paced environment.
Excellent communication and interpersonal skills, with the ability to effectively engage with diverse stakeholders.
Attention to detail and a focus on accuracy when handling documentation and maintaining employee records.
Proficiency in HRIS and other relevant software applications.
Knowledge of onboarding best practices and trends in talent acquisition and employee engagement.
Ability to adapt to changing priorities and handle confidential information with discretion.
Knowledge of real estate or property management industry is a plus.
Estimated total compensation for this position:
71,000.00 – 85,000.00 USD per yearThe total compensation range is an estimate and not guaranteed. An employment offer is based on an applicant's education, experience, skills, abilities, geographic location, internal equity and alignment with market data .
