Position Summary:
The Onboarding Coach ensures a seamless onboarding experience for new contractors and employees by guiding them through account setup, documentation verification, system orientation, and training enrollment. This role also supports certification tracking and documentation within proprietary systems and external databases. The ideal candidate is detail-oriented, tech-savvy, and committed to delivering a high-quality onboarding experience.
Responsibilities:
Account Setup & Access ManagementAssist new hires in setting up company accounts and accessing required platforms.Ensure login credentials and permissions are properly configured.Document VerificationReview and validate onboarding documentation for compliance.Communicate with contractors to resolve missing or incorrect documentation.Learning Management System (LMS) SupportProvide orientation on LMS navigation and usage.Enroll individuals into appropriate learning plans based on role and department.Monitor progress and follow up on incomplete training modules.Technology EnablementGuide users on Microsoft Office tools (Outlook, Teams, Excel, Word, etc.).Troubleshoot basic software issues and escalate complex problems.Salesforce DocumentationLog onboarding activities, communications, and follow-ups in Salesforce.Maintain accurate records of onboarding status and milestones.Certification TrackingUpdate certification fields within proprietary company software.Research and verify certifications using external databases and resources.Ensure timely updates and compliance with certification requirements.Follow-Up & EngagementConduct regular check-ins with new hires to ensure onboarding satisfaction.Collaborate with internal teams to continuously improve onboarding processes.Qualifications:
Experience in onboarding, training, or administrative support roles.Proficiency in Microsoft Office Suite and Salesforce.Familiarity with Learning Management Systems (LMS).Experience with certification tracking and database research.Strong communication and interpersonal skills.Detail-oriented with excellent organizational and time management abilities.Ability to manage multiple onboarding cases independently.Physical Demands:
Must be able to lift files, open filing cabinets, and bend or stand on a stool as necessaryMust be able to routinely use standard office equipment such as computers, phones, photocopiers, filing cabinets, and fax machinesPosition Type and Hours:
Full-TimeMonday through Friday from 8:00 – 5:00 p.m. plus occasional weekends and evenings as needed
