Job Description

Job Functions: (% of time spent)

o Admin 20%

*E-Filing/ Hard Filing

o Meetings 15%

*Agile Staff meetings

*Inter properties team meetings

o Call Centre 65%

*Manage own general facilities management queries

*Exercise judgement on resolving Facilities calls

*Manage call center phone in respect to Facilities help desk calls

The Facilities call centre agent is responsible to capture and close facilities related help desk calls, in line with the business protocols and procedures.

Responsibilities:

1. Receive and resolve facilities management related incident calls

2. Prepare, maintain and submit with quotations or invoice approvals

3. Ensure document management processes is followed (i.e. store all resolved/closed facilities management issues on online drive, documents filed etc.)

4. Ensure tasks are completed in a cost efficient and timeous manner

5. Manage vendor payments in line with protocols and principals

6. Ensure good client relationship is developed and maintained

7. Ensure compliance to customer and company guidelines, and policies for co-ordination team

Please note that due to operational requirements, there are instances where adhoc work is required over the weekend, and/ in the case of an emergency

Minimum Requirements:

1. Matric

2. 1- year previous Facilities Agent experience

3. Proficiency in Microsoft Office packages (Outlook, Excel, Word, PowerPoint), MS Teams

4. Strong verbal and written communication skills

5. Broad knowledge of facilities service lines

6. Conflict resolution

7. Ability to understand, prioritize and action work tasks according to deadlines
