Oliver Wyman is now looking to recruit an Associate Workflow Coordinator to join our South Africa office and be part of our IMEA (India Middle East Africa) team!
The role will be based out of the Johannesburg office.
Job Overview:
Workflow Coordinators have at least 3-year experience coordinating for a Presentation team. They support the work of the Presentation Studio while building connections and relationships with requestors and stakeholders across Oliver Wyman. They provide seamless access to Creative Studio globally with their deep understanding of our range of capabilities.
Workflow Coordinators are the first point of contact for requestors and assign incoming requests to the Presentation Studio team members. They liaise on Premium briefings and help requestors engage with other parts of the Creative Studio (Design, Video, Digital etc.) when necessary. By fostering relationships with requestors and stakeholders within Oliver Wyman, they can understand their ever-changing needs and promote our products, services, and values effectively.
The coordinators connect the team's creative talents with the business by working closely with Presentation Studio Managers/Team Leaders to identify suitable individuals or teams to work on specific tasks or projects.
Coordinators are responsible for scheduling tasks and prioritizing time for the team globally. Where they have an overview, they can manage this themselves or engage the local managers or senior team members to assist.
Workflow Coordinators should have the appropriate skills to fully understand requests and assist with small jobs while coordinating whenever possible.
Workflow Coordinators are expected to efficiently juggle multiple tasks. As such they continuously work on their attention to detail and focus on the job.
Key Responsibilities:
Organization and scheduling
Managing inbox and responding to requests
Assigning, updating and prioritizing work by using internal workflow tool
Monitoring global waitlist requests, focusing on their scope and business priority
Understanding local project needs and awareness of pressing business needs
Collaborating with global coordination team, taking active participation in global coordination meetings and suggesting new solutions
Assisting the team with prioritizing their work where needed
Communication
Consistently demonstrates positive engagement with requestors and stakeholders
Building and maintaining productive working relationships
Connecting requestors with relevant DTP talent
Setting the standard for communication with requestors and stakeholders
Effectively interprets requestors specific instructions and offers an appropriate solution
Problem solving
Using analytical skills to support requestors to solve problems
Assisting the team where necessary to translate requirements to an appropriate solution
Adapting solutions to changing needs of a project
Taking briefs for Premium work
