Offsite Event Manager, Audio Visual - New York

Position Overview

The Offsite Events Manager is responsible for the planning and execution of events taking place in venues where Encore is not the contracted onsite Event Technology provider.  This position will ensure successful and profitable execution of events by following Encore’s Production Process and Technical Standards and will partner with the sales and operations team to deliver on event execution plans. The Offsite Events Manager reports to a designated Director of Offsite Events.

Key Job Responsibilities

Event Planning

• Prepare and communicate Production & Labor schedules, sub-rental requirements, project scope, execution plan and individual responsibilities to lead crewmembers, vendors and venue. 

• Maintain focus on client needs by attending client meetings, creating and maintaining organized show files, and responding to client concerns, questions, and problems.  

• Review sales documents to confirm that the equipment and technical positions to ensure they meet client’s needs.  

Event Execution

• Communicate event execution plan and on-site changes including billing, production schedules and client requests.  

• Coordinate onsite Event Execution team to ensure appropriate Talent-To-Task assignments are maintained.

• Lead onsite execution where applicable.  Review necessary information with crew leads to ensure a successful and profitable event.    

• Ensures that all equipment and services are delivered on time, in good working condition and as specified by clients.

• Mentor Encore Team Members on event execution and best practices to help improve the local knowledge base and experience in the market.  

Administrative & Training

• Assist Director, Offsite Events with completion and analysis of Production EPT for events as necessary.  

• Complete Encore post-event process, including review and approval of timesheets, timely processing of invoices and post-show reporting.  

• Work with Director, Offsite Events to identify training opportunities for market-and-regional workforce. 

• Maintain and routinely update detailed files on venues with dock requirements, elevator sizes, power limits, contacts, load in rules, onsite AV team, etc.

Venue / Production Support 

• Provide Event Planning and Execution support at In-Market Venues where applicable during slower OSE periods.

• Provide planning, logistical and event execution support to In-Market PMO / Production where requested.

People Management 

• Hire, train, and develop a team of professionals supporting various divisions across the company; prioritize, lead, and assign work based on team member strengths and roles.

• Responsible for all aspects of team member training, career development, and performance management.

• Implement and cultivate a team environment that focuses on service levels, customer satisfaction, revenue generation, and productivity. 

• Ensure team members are equipped with required tools, processes, and procedures to create an effective and efficient organization. 

• Establish strong working relationships with team members within the support center and other departments in the organization that support the accomplishment of team goals.

Job Qualifications

• High School Diploma required, bachelor’s degree preferred 

• 5+ years tech experience in the event technology or Broadcast industry 

• 2+ years of administrative and customer service experience, preferred.

• Strong written and oral communication skills

• Strong Technical Background

• Strong Client relationship skills

• Operational logistics experience 

• Works well under pressure 

• MS Office experience

• Ability to read technical diagrams preferred

Work Environment

Hotel

Work is performed in a hotel/convention center environment with moderate exposure to outdoor temperatures and to dirt, sand and/or dust. The working conditions will vary between moderately quiet to noisy volumes. Team members will use high-end audio-visual equipment and electrical components and will be exposed to heights via lifts and ladders. Team members may be asked to work in multiple hotel locations. Working times will include irregular hours and on-call status including days, evenings, weekends, and holidays. Team members must adhere to appearance guidelines as defined by Encore based on an individual hotel or a representation of hotels in that city or area.

Warehouse

Work is performed at event venues as well as in a warehouse environment. Team members must adhere to appearance guidelines as defined by Encore based in a warehouse environment and when traveling, on an individual venue or a representation of venues in that city or area. When in the Warehouse, work will be completed in an environment with exposure to outdoor temperatures and to dirt, sand and/or dust. The working conditions will vary between moderately quiet to noisy volumes. Team members may use high-end audio-visual equipment and electrical components. Working times may include irregular hours and on-call status including days, evenings, weekends, and holidays.

Office

Work is performed primarily in an office environment. Working times may include irregular hours and on-call status including days, evenings, weekends, and holidays. Team members must adhere to appearance guidelines as defined by Encore based in an office environment and when traveling, on an individual venue or a representation of venues in that city or area.

Salary Pay Range: $80,902.00 - $99,105.00

The compensation offered for this role is determined based on the qualifications outlined in the job posting for the specified location. Final compensation is based on a number of factors including location, travel, relevant work experience, or particular skills and expertise. In addition, some positions may be eligible for other compensation such as potential overtime, bonuses or incentives.
