The Office/Travel Coordinator is an administrative expert that support all business travel, Company events and Office Management. The employee will be responsible for arranging business travel and meetings, while identifying the most cost-effective arrangements following the Global Travel policy, along with other Office Administrative duties.Main Responsibilities
Office Management:
Welcoming and directing clients, guests.Handling incoming and outgoing correspondence.Sending/forwarding packages, courier shipments, documents.Handling and scanning incoming invoices.Supervising Outside Services (e.g.: cleaning, messengers, etc.) and maintaining relationship with office vendors.General administrative tasks (e.g.: scanning-, printing documents).Management of office supplies.Preparing meetings for negotiations (e.g.: order catering).Providing general support to guests and employees.Travel Coordination:
Assists in supporting the following functions: travel, tradeshows, special events, and meetings for CEE.Arranges, plans, and organizes travel: air, hotel, ground transportation; handling any business trip related tasks working with travel agency and/or online booking tool in accordance with company policies and procedures.Works with the appointed Travel Management Company; facilitates communication, reviews requirements, ensures all bookings are accurate, cost efficient and adhere to company policy.Manages travel databases (including local contracts) using the appointed travel software and expense systems.Always maintains the strictest confidentiality and professionalism.Ensures required approvals are in place for all travel reservations, processes and approves payments of travel expenses and general services as required upon approval.Knows and effectively communicates the Global Travel Policy to travelers and ensures compliance with the said policies, preferred vendors and rate agreements.Communicates with travelers and administrative assistants regarding any issues related to their respective travel and reservations, especially those related to wellness, safety, and security.Communicates with the Vice President of Global Travel regarding any issues and concerns within the scope travel, meetings or events, including all vendors.Communicates with the Vice President of Global Travel, the Director of Finance and the Country Manager regarding travel data, reports, challenges and issues. Distributes travel reporting and responds to inquiries as requested.May coordinate in country special events and small meetings in conjunction with Country Manager and Vice President of Global Travel.Job Qualifications and Skills 2-3 years Experience in Administration/Travel Coordination/General Office support.Knowledge of travel industry and reservation processes.Working with on- line travel booking and expense tools a plus!Microsoft Office (Excel, Word and PowerPoint); computer literacy.Fluent English and Hungarian.Ability to work independently.Good interpersonal and customer service skills.Flexible and able to meet changing work needs and demands.About Skechers
