GENERAL DESCRIPTION:
The Department of Workforce Services is hiring an Office Support Specialist II for the Workers’ Compensation Safety and Risk (WCSR) Division.

ESSENTIAL FUNCTIONS: The listed functions are illustrative only and are not intended to describe every function which may be performed at the job level.
+ Prepares, proofreads and edits routine correspondence, reports, tables, and records.
+ Identifies and performs various support functions for staff and administration.
+ Responds to basic employer questions via email and telephone.
+ Attends meetings and documents minutes and comments.
+ Generates loss run reports for employers.
+ Verifies certificates of good standing.
+ Provides first-line customer service, as they are often the first point of contact for an agency.
+ Reviews and verifies data.
+ Makes calls, answers telephones, and routes calls to appropriate staff.
+ Receives, organizes and processes all mail and payments.
+ Maintains calendars, makes appointments and travel arrangements, arranges meeting rooms.
+ Assist staff with travel arrangements.
+ Maintains, files, and references procedure manuals/materials.
+ Orders, receives, stores and distributes supplies; maintains inventory.
+ Processes and reviews routine paperwork and/or enters data into a department log or database.
+ Because of the specialized nature of the job, may be required to train/guide others in an agency specific process.
+ Monitors pertinent office equipment such as computers, phone systems, etc., coordination maintenance etc.
+ Explains and interprets procedures.
Qualifications
PREFERENCES:
Preference may be given to candidates with experience in Unemployment Insurance Statutes and regulations.
Preference may be given to candidates with experience in accounts receivable.
KNOWLEDGE:
+ Knowledge of office procedures, filing, alphabetizing, English language and arithmetic.
+ Knowledge of modern office practices, procedures, and equipment.
+ Knowledge of word processing, spreadsheet and email programs.
+ Knowledge of assembling, sorting and distributing documents.
+ Knowledge of reviewing and editing documents for accuracy and completeness.
+ Knowledge of methods used to tactfully deal with the public.
+ Knowledge of telephone etiquette and coordination telephone and visitor traffic.
+ Knowledge of preparation of records, reports, and correspondence.
+ Knowledge of agency policies and procedures.
+ Ability to quickly learn and understand Employer Services roles and responsibilities and how they relate to each other.
+ Ability to adapt and change processes when new policies are put into place.
MINIMUM QUALIFICATIONS:
Education:
Associate's Degree (typically in Business)
Experience:
0-2 years of progressive work experience (typically in Business Office Communications) with acquired knowledge at the level of an Office Support Specialist I
OR
Education & Experience Substitution:
2-4 years of progressive work experience (typically in Business Office Communications) with acquired knowledge at the level of an Office Support Specialist I

Necessary Special Requirements
PHYSICAL WORKING CONDITIONS:
+ Typically, the employee may sit comfortably to perform the work; however, there may be some walking, standing, bending, carrying light items, driving an automobile, etc.
+ Special physical demands are not required to perform the work.
