We are presently seeking highly motivated, organized and professional applicants for an Office Support Specialist. The primary role of this position is to perform a variety of executive level secretarial, administrative and fiscal tasks to support the Executive Direct and staff for the Council. Other responsibilities of this position will include client communications, legal research tasks, drafting legal documents and legal memoranda, investigating facts in various matters, compiling information for reports, scheduling meetings, and screening mail. The State of Wyoming's total compensation package is excellent and includes: + Paid annual and sick leave + Paid holidays + Retirement with employer contributions + Deferred Compensation Plan with employer contributions + Health insurance with an employer contribution toward premiums + Insurance options for health, dental, life, vision, ambulance, and short- and long-term disability + Longevity pay Human Resource Contact: Stacy Berres / 307-777-7130 /stacy.berres@wyo.gov ESSENTIAL FUNCTIONS: The listed functions are illustrative only and are not intended to describe every function which may be performed at the job level. + General office management and organization + Provide reception, information and referral, answer and redirect telephone calls + Prepare mailings; make copies; send faxes; collate and bind materials; maintain agency records + Prepare and/or present oral and written communication; create, type and/or edit documents; disseminate documents and correspondence + Fiscal processing duties to include: work with Executive Director and Attorney General's Office fiscal staff to prepare, process and monitor payment of vouchers; receive transaction reports from state accounting system (WOLFS); review reports for accuracy; analyze, identify and correct errors; monitor agency budget; understand the RFP and Bid process for the state; and maintain financial and fiscal records according to accounting procedures and regulations + Participate in the organization and planning arrangements for Council activities; work with venues for projects; write contracts + Schedule travel arrangements and submit all appropriate state forms + Work with Council staff and confer with staff from other agencies in regard to the Council's objectives and projects, exchange of information, and explanation of Council policy, procedures and practices + Schedule and coordinate meetings; take and record minutes at meetings + Record and file maintenance; compile information for periodic administrative reports; summarize information and respond to inquiries + Research and respond to routine problems requiring knowledge of agency operations and policies + Order supplies and any other duties assigned by the Executive Director Qualifications PREFERENCES: Preference will be given to applicants with an associate's degree (typically in business) plus 1-3 years of progressive work experience in business and office communications. KNOWLEDGE: + Knowledge of office procedures, filing, alphabetizing, English language and arithmetic + Knowledge of modern office practices and procedures + Knowledge and skills in computer use, webpages, word processing, spreadsheets, e-mail programs, fax machines, copiers, scanners, and calculators + Knowledge of all types of office equipment and software programs + Knowledge of assembling, sorting and distributing documents + Knowledge of reviewing and editing documents for accuracy and completeness + Knowledge of telephone etiquette and coordinating telephone and visitor traffic + Knowledge of bookkeeping and accounting practices and the WOLFS System + Knowledge of the principles and methods of gathering information + Knowledge of governmental procurement principles, methods and procedures + Knowledge of advanced research, analysis and compilation of data + Knowledge of agency policies and procedures + Knowledge of People First language and philosophies is beneficial + Strong communication skills in working with the general public and other staff + Strong organizational skills + Skill in document preparation and editing + Skill in office equipment use + Skill in word processing applications on computers + Skill in professional oral and written communication + Ability to prepare reports and summaries of information + Ability to work independently + Ability to work with people with developmental disabilities + Ability to work cooperatively with staff and the general public + Ability to explain procedures to people contacted by the office MINIMUM QUALIFICATIONS: Education: Associate's Degree (typically in Business) Experience: 0-1 year of progressive professional office work experience (typically in Business Office Communications) with knowledge acquired at the level of an Office Support Specialist I OR Education & Experience Substitution: 2-4 years of progressive work experience (typically in Business Office Communications) with knowledge acquired at the level of an Office Support Specialist I Certificates, Licenses, Registrations: None Necessary Special Requirements PHYSICAL WORKING CONDITIONS: + Typically, the employee may sit comfortably to perform the work; however, there may be some walking, standing, bending, carrying light items, driving an automobile, etc. + Special physical demands are not required to perform the work.
