GENERAL DESCRIPTION:
Under limited supervision, provides customer service and serves as the first point of contact for the agency. Performs administrative duties for internal and external customers.

ESSENTIAL FUNCTIONS: The listed functions are illustrative only and are not intended to describe every function which may be performed at the job level.
+ Acts as a resource for customers, clients, and staff by explaining rules and procedures pertaining to the Unemployment Tax Division while maintaining a high level of customer service.
+ Coordinates and/or acts as a liaison between Workforce Services or work units and other agencies.
+ Performs specialized tasks and coordinates office functions such as legal work, administrative, property management, travel arrangements, procurement, personnel, information systems, or fiscal duties and provides training to staff.
+ Maintains and reviews case files to determine actions to be taken.
+ Prepares reports; verifies computer systems, databases, and coded data for accuracy.
+ Acts as a direct contact for third parties (CPA, bookkeepers, etc.) and payroll companies.
+ Work with supervisor on correspondence in and out of the division.
+ Performs or leads a wide variety of moderate to complex program and operational support duties.
+ Responds verbally and/or in writing to requests for information.
+ Fields any other outside customers as needed.
Qualifications
PREFERENCES:
Preference may be given to those with Customer Service experience in phone and email correspondence.
Preference may be given to those with Microsoft Excel and Microsoft Word experience.
KNOWLEDGE:
+ Knowledge of applicable federal, state, and local laws, codes, regulations and policies, technical processes, and procedures related to the department.
+ Knowledge of financial record keeping and reporting principles and procedures, basic accounts payable, and purchasing.
+ Knowledge of techniques for providing a high level of customer service.
+ Ability to be a team player.
+ Ability to multi-task and prioritize.
MINIMUM QUALIFICATIONS:
Education:
Associate's Degree (typically in Business)
Experience:
0-1 year of progressive work experience (typically in Business Office Communications) with acquired knowledge at the level of an Office Assistant II
OR
Education & Experience Substitution:
2-4 years of progressive work experience (typically in Business Office Communications) with acquired knowledge at the level of an Office Assistant II

PHYSICAL WORKING CONDITIONS:
+ Typically, the employee may sit comfortably to perform the work; however, there may be some walking, standing, bending, carrying light items, driving an automobile, etc.
