Description
We are looking for a polished and reliable Office Services Coordinator to support day-to-day operations in a high-traffic, two-floor office environment. This role is a key point of contact for employees and visitors, blending front desk reception, hospitality, facilities coordination, and general administrative support. This is not a sit-behind-the-desk-all-day position — it requires a hands-on, proactive approach and strong attention to detail.
Requirements
Responsibilities:
+ Serve as the first point of contact for visitors and staff with a high level of professionalism and service
+ Maintain a clean and organized office environment through regular walkthroughs and supply checks
+ Perform daily tasks such as operating dishwashers, wiping down surfaces, managing coffee machines, changing CO₂ tanks, and restocking printer paper
+ Answer and direct incoming calls, manage deliveries, and troubleshoot routine issues
+ Schedule and coordinate meetings, including room bookings, equipment setup, and catering needs
+ Submit service requests and address basic maintenance or equipment issues
+ Maintain inventory of office supplies and place orders as needed
+ Assist with invoice tracking and basic expense coding
+ Build and maintain vendor relationships for office-related services and goods
+ Support team efforts across both administrative and facilities functions
•Required Qualifications:
+ High school diploma or GED
+ At least 1 year of experience in a front desk, concierge, or customer service role
+ Prior experience in hospitality, events, or high-end customer service settings (e.g., hotels, luxury retail, premium food & beverage)
+ Intermediate proficiency with Microsoft Office tools, especially Outlook and Teams (calendar management and conference room booking)
+ Basic understanding of administrative and expense tracking processes
+ Ability to lift up to 40 lbs., stand for extended periods, and move throughout the office regularly

+ Flexible and adaptable to changing office needs
+ Comfortable in a highly visible role with frequent interaction across teams and with guests
