 The Office Manager – we are seeking a highly organized and proactive Office Manager to oversee daily operations. The ideal candidate will be a critical hub for the business, ensuring accurate financial record-keeping, smooth administrative workflows, and efficient office management. This role requires a versatile individual who can handle a wide range of responsibilities.

Responsibilities Include:

Financial & Accounting Management: Perform daily cash deposits, balance daily sales, and complete daily General Ledger (GL) entries for sales. Manage accounts payable and accounts receivable processes, including printing and mailing A/R statements. Count the office safe, create change orders for the bank, and conduct bank reconciliations. Input purchase orders and maintain accurate inventory adjustments and cleanup. Prepare and analyze sales reports, comparing current sales data to previous years. Process and submit sales tax, CAT tax, and quarterly tax estimates. Reconcile the General Ledger annually and prepare financial information for external accountants. Enter adjusting entries from external accountants to ensure matching totals. Human Resources & Payroll: Set up new employees, ensure proper completion of new hire packets, and manage onboarding documentation. Monitor time clock information for missed punches and make necessary corrections. Verify employee hours and process payroll submissions. Make payroll entries in the General Ledger and transfer funds to cover payroll. Process and submit employee and employer 401k contributions, working with our 401k provider. Coordinate semi-annual 401k enrollment for newly eligible employees, including sign-ups or waiver collection. Verify and disperse W2s annually. Office Administration & Support: Sort and distribute incoming mail, processing any incoming checks. Order various office supplies, including labels, ribbons, toner, and envelopes, as needed. Print labels and signs when required for various operational needs. Troubleshoot issues with customers, employees, and computer systems. Act as the main contact for local IT and Point of Sale (POS) support, frequently working with support teams to resolve issues or implement new features. Assist with the setup and ongoing management of the online store. Renew various business licenses annually (e.g., liquor, Health Dept, Nursery licenses). Renew corporate filings as required. Purge physical files according to current retention requirements. Organize and supervise inventory cycle counts.

Qualifications:

Proven experience in an office management, bookkeeping, or similar administrative/accounting role. Strong understanding of accounting principles, including accounts payable, accounts receivable, and general ledger. Experience with payroll processing and HR administrative tasks. Proficiency in office software (e.g., Microsoft Office Suite) and experience with accounting software. Excellent organizational and time management skills, with the ability to prioritize multiple tasks. Strong problem-solving abilities and attention to detail. Exceptional communication and interpersonal skills. Ability to work independently and as part of a team.

Education:
Bachelor's degree in Accounting, Finance, Business Administration preferred, or equivalent relevant professional experience.

Schedule:
Monday-Friday, 8am-4pm (flexible office hours)

Compensation:
$45,760-$52,000 annually, based on skills and experience
