Position Overview:
The Office Manager will provide key administrative support to Facilities and Operations organizations. Responsibilities: include providing training coordination, mail distribution, office supply administration, support with meeting requests (conference room set-up, catering/business meal requests, etc.), and general office administration tasks within the San Diego office.
Responsibilities:
Support Facilities leadership team with general administrative projects and/or tasks as assigned.Manage the reception area including maintaining all protocols and security requirements – following documented procedures, monitoring log-book, and issuing site badges.Support teams with new hire onboarding activities.Maintain calendar(s), schedule project or group meetings, and manage all meeting details such as room reservations, preparing agendas, securing necessary IT equipment, initializing presentations, catering, and attendee updates.Support CAPEX project coordination as directed.Generate purchase orders and track department expenditures for cost efficiencies.Assist in the ordering, receiving, stocking, and distribution of office supplies, breakroom amenities, and materials for Facilities.Acts with discretion and maintains sensitive and/or confidential information.Prepare presentations for Facilities meetings as requested.Support coordination of training logistics for onsite employeesWork with corporate administration team to coordinate and manage site meeting schedules and related duties as required.Performs other duties as assigned.Education & Experience:
Associate's degree in business or secretarial science (two program) highly preferred
Preferred Skills and Competencies:
2+ years of experience in similar role supporting multiple leaders.Familiarity with ERP systems (SAP preferred), Document Control (Arena) and LMS Training applications to support organizations goals and objectives.Highly proficient using MS Word, Excel, Outlook and Power Point.Dependable, highly organized, and very detail oriented – strong focus on accuracy, quality, and timeliness while handling multiple tasks.Possess strong problem resolution and project management skills.Ability to act independently, use discretionary judgment and work with all levels of the organization.Strong professional judgement and critical thinking.Takes an active role in helping to foster a team oriented environment within the San Diego Office.Able to prioritize and manage multiple tasks at one time.Communicates clearly, effectively, and professionally both verbally and in writing.Physical Requirements:

The US base salary range for this full-time position is $26.00 - $39.50. Our salary ranges are determined by role, level, and location.
